We are seeking a detail-oriented and reliable Part-Time/PRN Clerical Support Staff member to join our physical therapy office team. Key Responsibilities:
- Patient Scheduling: Schedule and confirm patient appointments, ensuring accurate and timely coordination of therapy sessions.
- Patient Intake and Check-in: Greet patients, assist with completing intake forms, and ensure patient records are up-to-date.
- Record Keeping: Maintain accurate patient records, including treatment plans, progress notes, and other documentation.
- Insurance Verification: Assist with insurance verifications, obtain authorizations for treatments, and manage patient billing inquiries.
- File Management: Organize and maintain both electronic and paper files, ensuring compliance with privacy regulations (HIPAA).
- Clerical Support: Handle general office tasks including answering phones, filing, faxing, photocopying, and scanning documents.
- Billing and Coding Support: Assist in processing claims, payments, and billing inquiries for insurance companies and patients.
- Communication: Serve as a liaison between patients, healthcare providers, and insurance companies to resolve issues and answer questions.
- Office Organization: Ensure the office runs efficiently, keeping the workspace tidy, managing supplies, and ensuring the therapy rooms are prepared.
- Assist with Reports: Prepare reports, spreadsheets, and other documents as needed to support office and therapy team operations.
Requirements:
- Previous clerical or administrative experience, preferably in a healthcare or physical therapy setting
- Familiarity with office software (e.g., Microsoft Office Suite, WebPt)
- Strong organizational and multitasking skills
- Ability to maintain confidentiality and adhere to HIPAA regulations
- Excellent communication skills, both verbal and written
- Ability to handle patient inquiries with professionalism and care
- Detail-oriented with a proactive approach to problem-solving
- Reliable, punctual, and able to work independently or as part of a team
- Ability to work the designated days (Monday, Wednesday, Friday)
