Your Role As a Customer Service / Office Admin

This multifaceted role involves managing front-office operations, providing exceptional customer service and processing orders and invoices to ensure seamless operations. The ideal candidate is organized, detail-oriented, and skilled in multitasking, with a strong commitment to delivering a positive experience for our customers and team members.

Key Responsibilities

Front Office Administrator

  • Serve as the first point of contact for visitors, clients, and callers, ensuring a professional and welcoming environment.
  • Manage incoming calls, emails, and inquiries, directing them to the appropriate departments or individuals.
  • Maintain office supplies, organization, and general administrative tasks to support a smooth workflow.
  • Assist Accounting and Human Resources with onsite tasks.

Customer Service

  • Provide outstanding customer support by addressing inquiries, resolving issues, and delivering product/service information.
  • Build and maintain strong relationships with customers to foster loyalty and satisfaction.
  • Proactively identify internal and external customer needs and recommend appropriate solutions or services.

Orders and Invoices

  • Accurately process customer orders and invoices in a timely manner.
  • Ensure all order details, including pricing, shipping, and payment terms, are correct.
  • Coordinate with logistics and manufacturing teams to track and confirm order fulfillment.
  • Work with other departments to ensure proper processing of receipts, bills, taxes, etc.
  • Handle discrepancies, returns, and credits, ensuring efficient resolution.
  • Create VIN tags and Title documents.

Requirements

What We’re Looking For:

Education And Experience

  • High school diploma or equivalent (Bachelor’s degree in Business, Administration, or related field preferred).
  • Proven experience in customer service and administrative roles.

Skills And Competencies

  • Excellent verbal and written communication skills.
  • Strong organizational and time-management abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and CRM or ERP systems.
  • Attention to detail with a commitment to accuracy and quality.
  • Ability to multitask in a fast-paced environment while maintaining composure under pressure.
