Job Duties/Scope Of Work
This position supports the Workforce Resources & Development department which resides under the Workforce Solutions (WFS) organization and is responsible for Staffing, Recruitment, Employee Development and Employee Records.
The successful candidate filling this position must be able to effectively perform the following essential job duties:
- Assist in posting open job opportunities on company website and external job boards.
- Coordinate with HR Specialists, hiring managers and other staff to schedule and prepare for candidate interviews.
- Provide regular status updates to HR Specialists and applicants.
- Perform accurate data entry primarily in the Human Resources Information System (HRIS/PeopleSoft), and Integrated Document Management System (IDMS).
- Maintain a high degree of confidentiality when forming day-to-day job duties.
- Use tact and discretion while interfacing with employees, management, candidates and all external entities.
- Coordinate and answer questions regarding pre-employment processing, required forms, and other pertinent new hire information.
- Process and verify employment applications and other required forms in preparation of offer packages.
- Coordinate and assist in the facilitation of New Hire Orientation, which entails speaking in front of groups of people and accurately completing I-9 Form verifications and other new hire paperwork.
- Review and process employment paperwork for completeness.
- Respond to and properly disposition inquiries from the HR Hotline on a regular frequency.
- Multi-task with ever-changing priorities and a heavy volume of administrative tasks.
- Provide administrative support to the HMIS Intern Program Coordinator.
- Support the Education Reimbursement Program with the processing of all applicable forms and documentation.
- Assist with administering the dependent scholarship program, to include tracking applications and planning annual recognition event.
- Run HR reports in various software programs (Excel, Access, Crystal) as requested.
- Provide administrative support to the HMIS Recognition and Service Awards programs.
- Perform other duties (as assigned) to assist in the day-to-day operations within Workforce Solutions.
Basic Qualifications
* High School diploma or equivalent, and at least five years of administrative experience.
- Working knowledge with Microsoft Word, Excel and Outlook.
- Must possess excellent interpersonal, written, and verbal communication skills.
- Must possess strong attention to detail in a fast-paced work environment and demonstrate the ability to quickly adapt to changing work demands and conflicting priorities.
Desired Qualifications
* Demonstrated experience in a staffing or other HR related function.
- Experience with Microsoft PowerPoint (seeking proficiency at least at a beginner level).
- Experience using Microsoft Access or Crystal Report.
- Demonstrated experience with a Human Resources Information System database or similar software system used to support business needs.
Compensation & Benefits
Grade 5: $48,600 to $61,300
Grade 6: $53,413 to $67,338
Grade 7: $58,825 to $74,175
