Job Title: Finance and Administrative Assistant
Position Location: Hanover and King William Habitat for Humanity
Reports to: Controller
Employment Type: Full-Time Hourly, non-exempt
Pay Range: $20-$23/hour, 35 hours per week [MD1] [MD2]
Position Summary:
This position will provide general administrative support for the Hanover and King William Habitat for Humanity (HKWHFH) office and staff as well as administrative financial support for the HKWHFH controller and ReStore.
Duties and Responsibilities
Finance
- Accounts Receivable and Payable and scanning of supporting documentation
- Maintains Accounts Payable schedule processes payments through online bill pay
- All data entry for Sage/Peachtree [MD3] [RN4] [MD5] accounting system
- Checks bank account balances and sweep transactions online daily and posts appropriate journal entries
- Prepare, deliver and reconcile Bank Deposits
- Assist ReStore with data entry, month end, payment of retail sales tax
- Manage relationships with subcontractors to include maintaining certificate of insurance and obtaining mechanics lien waivers and W-9's
- Maintain vendor records
- Maintain data per house build to deliver home cost
- Assist Controller with budget loading, annual audits, management of Habitat held mortgages
- Secure and maintain mortgage documents
- Manage retention and disposal of documents
General Administration
- First point of contact for visitors or telephone at administrative office
- Assists with faxes and other logistical needs
- Manages organization’s general mailbox
- Prepare general correspondence and all donor receipts
- Prepare and send bulk mail as needed
- Picks up and drops off mail at post office daily
- Maintain donor database[MD6]
- Maintain policy binder and electronic version of policies
- Assist with preparation for house dedications and other affiliate events
- Provide administrative support to Executive Director, Family Services, Development, Community Engagement as needed
- Maintain office supplies and equipment
- Research and coordinate purchase of new equipment
- Support Recycle team as needed
- Sanitize and clean facility as needed
- All other duties as assigned

- Familiar with Sage/Peachtree, Quickbooks Online, Blackbaud donor system, DonorPerfect and Microsoft 360
MINIMUM REQUIREMENTS:
- Education: BA/BS or similar training
- Experience: accounting or administrative support in a non-profit environment preferred
