JOB SUMMARY
Supports steering, monitoring, and supervising the TD / ED and the PTO Admin team. It is also expected that the Sr Admin Manager is involved in streamlining and automating processes. The incumbent in this position manages the TD / ED and the PTO Admin. Department and contributes to the business-wide strategy. This person is responsible for providing employees with guidance in handling difficult or complex problems and in resolving complex, escalated complaints or disputes.
JOB RESPONSIBILITIES
- Assist with various analyses and ad-hoc reporting.
- Prepare and supervises monthly, quarterly, and year-end accounts reconciliations
- Responsible for the monitoring of invoice validation and processing, including TD, ED, and PTO. It is expected that the invoice again does not exceed 3% over 30 days
- Assign and prioritize workload to optimize productivity
- Together with Leadership, define productivity targets for the validation and processing of invoices
- Assists internal and external stakeholders in resolving complex issues requiring specialized knowledge of a functional area and / or broad knowledge across functions.
- Handles special projects as required
- Assists staff with troubleshooting issues and handles escalated problems
- Keeps staff informed of new requirements, processes, and procedures.
- Makes certain that all departmental and functional training requirements are fulfilled
- Ensures consistent application of Hapag-Lloyd policies to all personnel actions
- Makes sound decisions in ambiguous situations not covered by explicit rules by applying general principles and guidelines.
- Communications are well organized, clear, and concise.

- Reconciled and report discrepancies found in records
- Review and ensure compliance with the ICCL report and respond promptly and ensure to advise root-cause analysis, to facilitate exemption resolutions.
- Liaison for internal and external audits (QEM, Internal Audits, external audits, etc.).
- Help the Team to maintain KPIs under parameters required by management.
- Prepare and present departmental statistics and measurements to management.
