What are the responsibilities and job description for the Urgent Care - Intake Specialist position at Harbor Brand?
Harbor is seeking an Intake Specialist for our Urgent Care! This individual will be responsible for completing the client registration process, and will obtain, verify, enroll, update and interpret client account information, including coordination of benefits.
Position is full-time, 1st shift.
Education/Experience/Other Requirements:
- High school diploma or equivalent required with two years of closely related office experience strongly preferred.
- Demonstrated knowledge and understanding of health/behavioral health billing procedures and eligibilities for third-party providers preferred.
- Strongly prefer prior experience in customer service and behavioral health setting.
- Must have strong attention to detail and be able to communicate effectively with various individuals.
- Competent computer/PC skills using Microsoft Office 365, Excel, and electronic health record systems.
- Must be able to establish daily work priorities and work independently and efficiently to meet deadlines
- Must be honest, dependable, self-disciplined, organized and be able to work well as a team member.
- Ability to manage stress and maintain client confidentiality.
- Flexibility, strong multi-tasking skills, and excellent organizational skills also required
Essential Job Competencies/Primary Duties:
- Reviews and updates client accounts timely to ensure accurate demographic and account information, including insurance information, and fee agreements.
- Proactively and collaboratively works with other departments to ensure a thorough and accurate client registration process.
- Receives incoming questions from clients, payers and/or other departments regarding client accounts; initiates data submission for any additional information needed, and interprets information back to the client, payer and/or clinician.
- Reviews, monitors, updates and prepares Client Record to ensure required Intake/Registration forms and data are completed and updated as necessary.
- Facilitates a welcoming client registration process for clients to ensure a positive, client centered, trauma informed intake.
- Coordinates client’s application and subsequent verification process for public assistance funding sources. Updates client records accordingly (internal and external systems) and monitors assigned client records to ensure adequate coverage for services.
- Provides quality and timely support to both internal and external customers and strives for customer satisfaction
- Assist in the training of co-workers, students and volunteers in admission procedures
- Encourages and educates clients on the Patient Portal and Appointment Reminders.
- Monitors assigned clients to ensure services are scheduled appropriately based on insurance coverage.
- Keeps current with trends and developments related to essential job competencies and demonstrates continued growth.
- Performs opening/closing duties as assigned.
- Answers all calls in a professional, warm, courteous, and efficient manner in accordance with organization’s Vision XXI service excellence efforts. Transfers calls to Voice Mail or takes accurate written messages and proper and prompt delivery.
- Ensures that clients are announced to appropriate staff person; Provide any necessary follow-up and ensure the client is attended to in a timely manner.
- Collects payments from clients as required. Reconciles cash box and completes deposit or distributes cash drawer to designated person, as assigned
- Follows crisis prevention and intervention protocols.
- Recognize and respond appropriately to crisis situations by referring to a clinical therapist, a manager, or police emergency services.
Crisis Program
The Crisis Program entails meeting with clients who find themselves in a position where they do not have the skills to cope with a stressor(s), and are therefore said to be in crisis. Substance use, lack of access to medications, and an inability to meet basic needs can also be identified as crisis situations. These barriers could include lack of transportation, support from family and friends, and limited knowledge of resources available. Options for our clients include detailed safety plans or hospitalization if safety cannot be assured in a less restrictive manner. With the opening of Harbor’s Urgent Care we will now be able to provide ambulatory detoxification, emergency medication, and resources to help clients meet their basic needs.
The employee who is best suited for the Crisis Program is one who finds fulfillment in meeting clients on some of the worst days of their life and restoring hope that life can be worth living. This program can often be unpredictable and requires characteristics of a clinician that is patience, willing to explore the various options of care for each individual, comfortable with ambiguity, and can remain calm in the face of challenging behavior and/or crisis situations.
