Summary
We are seeking an experienced and motivated Practice Manager to join our team. In this role, you will be responsible for overseeing operational efficiency, optimizing resource management, and ensuring the delivery of high-quality patient care. Responsibilities
Operational Management:
- Supervising Staff: Hiring, training, scheduling, and evaluating administrative and clinical staff. Providing guidance and support to enhance team performance.
- Managing Daily Operations: Overseeing appointment scheduling, patient registration, and ensuring efficient patient flow.
- Implementing Policies and Procedures: Developing and enforcing office policies and procedures to improve operational efficiency and ensure compliance with regulations and best practices.
- Maintaining Patient Records: Ensuring accurate and organized patient records.
- Coordinating with Medical Professionals: Working closely with physicians and advanced practice practitioners to ensure smooth operations and patient care.
- Managing Office Supplies: Oversee ordering and maintaining medical and office supplies.
- Managing the Template: Coordinate with scheduling staff and practitioners to optimize patient templates.
- Maintaining a Clean and Organized Workplace: Ensuring the office is clean, tidy, and well-maintained.
Financial Management:
- Manage Fiscal Responsibilities including monitoring and managing the budgeting, financial reporting, and resource allocation.
- Billing and Insurance Claims: Overseeing billing processes, submitting insurance claims, and following up on payments.
- Managing Accounts Receivable: Tracking outstanding payments and working to resolve any issues.
Human Resources:
- Hiring and Onboarding: Recruiting, interviewing, and hiring new staff, as well as onboarding new hires.
- Employee Scheduling: Creating and managing staff schedules to ensure adequate coverage.
- Employee Training: Ensuring staff receives adequate training and development.
- Employee Performance Management: Evaluating staff performance and providing feedback.
Other Responsibilities:
- Responding to Patient Inquiries: Addressing patient inquiries and concerns in a professional and timely manner.
- Coordinating Staff Meetings: Leading and participating in staff meetings to communicate updates and address issues.
- Ensuring Compliance: Staying up-to-date on relevant regulations and ensuring compliance with HIPAA, OSHA, and other regulations.
- Improving Patient Care: Collaborating with all departments to improve overall patient care and satisfaction.
- Maintaining a Professional Workplace: Promoting a positive and cooperative work environment.
Requirements
- Bachelor's degree in business administration, healthcare management, or a related field.
- Proven leadership experience in a supervisory or managerial role within a medical office setting.
- Strong knowledge of fiscal management principles and practices.
- Familiarity with medical terminology and healthcare regulations.
- Excellent analytical and problem-solving skills.
- Proficiency in electronic health record (EHR) systems and other relevant software.
- Strong interpersonal and communication skills to effectively communicate with physicians, other medical professionals, employees and patients.
