Job Summary: Responsible for managing day-to-day operations of our condominium associations. Preparation of budgets, coding and approval of invoices, facilitate contract solicitation, assist Village Boards in the maintenance, repair, and replacement of village common area facilities and operation functions per Florida Statutes. Assistance with the preparation of Year End Financials, attendance at Annual Meetings, including taking minutes. Inspect villages and issue violation letters. Understanding of Declarations and Bylaws of the Villages, POA, and Club. Prior experience in a Club environment is helpful.

Essential Duties and Responsibilities include the following but are not limited to:

  • Facilitate maintenance, repair, replacement, upkeep and preservation of the common areas owned by the Associations.
  • Advise the Village Boards and owners of Units/Lots of the need to comply with all pertinent laws, statutes, ordinances and rules of the appropriate governmental authorities having jurisdiction and advise of any violations.
  • Advise Owners of any need to comply with Declaration, Articles of Incorporation, Bylaws of the Association and Master Association and applicable rules and regulations in connection with the operation of the Community.
  • Subject to the direction of the Board and consistent with the Association budget, solicit contracts on behalf of the Association.
  • Solicit vendor bids for various projects such as pavers, lighting, major repairs, etc. for all villages.
  • Coordinate exterior condominium repairs, village painting, condominium roof repair/replacement, pool renovations, asphalt repairs, etc.
  • Retain and engage, as needed, at the Boards direction, approval and expense and as agents of the Association, such attorneys, accountants, insurance consultants, tax consultants and other experts and professionals, whose services the Association may reasonably require.
  • Prepare and send, as needed, all letters, reports and notices as may be reasonably requested by the Board, and attend budget meetings and annual membership meetings and file minutes thereof, which minutes shall be prepared and recorded by HRPOA as the designee of the Association.
  • Prepare and distribute violation notices regarding dirty roofs and driveways, improperly stored garbage containers, overnight parking and open garage doors.
  • Respond to member/board inquiries by phone and email in a timely manner.
  • Audit and approve association invoices weekly.
  • Audit and approve POA intercompany invoices for villages on a monthly basis.
  • Review village quarterly statements with Harbour Ridge Accounting.
  • Prepare, annually, a suggested operating budget for the Association setting forth an itemized statement of anticipated receipts and disbursements based upon the then current schedule for assessments and taking into account the general condition of the Association. Said budget, together with an explanatory statement, shall be submitted to the Association for final approval. The budget shall serve as the supporting document for the schedule of assessments.
  • Update Annual Corporate Report with new board members and positions.
  • Notify banking institutions of Board members (President and Treasurer) and any changes to those positions.
  • Update village board rosters, village residents, and renters.
  • Oversee inspection of 15 pools; follow up on licensing and contracts, notifying vendors of outstanding items, providing direction and recommendations.
  • Review elevator licenses for Riverside (4) and Osprey (1), due August 1st.
  • Maintains key inventory.
  • Verify vendor insurances are current.
  • Maintains and updates resident information in the database.
  • Maintains a safe working environment.
  • Manage maintenance, repair, and upkeep of common areas within the condominium complex, including landscaping, pools, elevators, lobbies, and parking areas.
  • Advise Board members and condominium owners on the importance of adhering to governing documents, applicable local laws, ordinances, and regulations.
  • Serve as a liaison between the Condo Board, unit owners, and third-party vendors, ensuring smooth communication regarding issues related to property maintenance, improvements, and violations.
  • Prepare and solicit contracts for maintenance and service providers (landscapers, contractors, etc.), ensuring that services are delivered in a timely and cost-effective manner while complying with the approved budget.
  • Coordinate and oversee vendor bids for major repairs and renovations (roof repairs, painting, paving, etc.) across multiple condominium properties within the association.
  • Hire and manage external professionals such as attorneys, accountants, insurance consultants, and other experts as needed to support the condominium associations operations.
  • Attend board meetings and annual membership meetings, documenting minutes and providing regular reports to the Board on financials, budgets, and operational status.
  • Conduct visual inspections of common areas and common building systems (elevators, HVAC, etc.) and make recommendations for maintenance and repairs to the Board.

Qualifications:

  • Bachelor's degree in Business Administration, Real Estate, Property Management, or a related field preferred.
  • Minimum of 3-5 years of experience in property management, specifically with condominium associations or similar residential communities.
  • Prior experience managing budgets, overseeing property maintenance, and working directly with board members and vendors is essential.
  • Knowledge and experience with Florida Statutes regarding condominium associations, including property maintenance, compliance, and financial reporting.
