Job Summary: Assist CAM with Village meetings, mailings, websites, updating various reports, Member and Board communications, coordination of repair and maintenance schedules with vendors and members, Answer phones, greet visitors, and perform other administrative tasks as needed.

Essential Duties and Responsibilities include the following but are not limited to:

  • Prepare and disperse monthly ARB agenda and documents via Adobe shared files.
  • Receive and complete ARB forms and documents with Members. Assist Members by communicating errors and missing information to ensure an accurate and complete application.
  • Complete the ARB process by documenting approval/disapproval in the file as well as sending an approval/disapproval letter to the homeowner and the corresponding Village Board President.
  • Maintain ARB Application Log.
  • Provide support to homeowners regarding requests, concerns, and those seeking information.
  • Conduct and record periodic property, building, and grounds inspections.
  • Attending ARB meetings to present applications for approval.
  • Prepare monthly spreadsheet for ARB Inspections.
  • Serve as the primary point of contact for members: Respond to inquiries, address concerns, and provide information.
  • Manage membership notifications, email blasts, phone calls, mailings
  • Represent the association at events: Attend conferences, meetings, and other events as needed
  • Maintain and execute calendar of required notifications per Florida Statutes 718 and 720
  • Obtains and maintains current COI’s, W9s, and Workers Comp coverage for contractors and vendors
  • Manage receipt of the associations’ invoices, obtain approvals and submission for payments
  • Proficiency with Microsoft Word, Excel and Outlook required.
  • Experience with industry specific software (Jenark, Vantaca, VMS, Tops, Etc.) preferred
  • Previous Association Management experience preferred
  • Must be organized and detailed oriented.
  • Must take ownership of position and self-motivated to see project through to completion

Job Requirements include the following but are not limited to:

  • Impeccable customer service skills.
  • Possess strong oral and written communication skills.
  • Proficient in Microsoft Office (Word, PowerPoint, Excel, and Outlook).
  • Operate office equipment, including copiers, facsimile machines, and computers; input and retrieve data and text.
  • Attention to detail and ability to work independently on assignments is essential.
  • Ability to prioritize and consistently meet deadlines.
  • Knowledge of on-site maintenance requirements, including interacting with vendors and subcontractors.
  • Utilize a clear speaking voice in the English language.
  • Ability to use discretion and maintain confidentiality.
  • Maintain an orderly and professional workspace.
  • Demonstrate a record of good work attendance and reliability, regular and punctual attendance.
  • Demonstrate flexibility in work habits and work schedule.
  • Comply with company policies and procedures as established in the Employee Handbook or as demonstrated as common practice.
  • Seek to improve in knowledge and skills.
  • Other duties as assigned.

Certificates/Licenses:

  • Current State of Florida Notary certification or the ability to acquire certification.
