What are the responsibilities and job description for the Accounts Payable Specialist position at Hardwood Industries, Inc.?
Function: This position has two primary responsibilities 1) Account Payables, providing financial, administrative and clerical support to the organization and other related accounting duties; and, 2) Secondary responsibility to become a backup invoicer.
Essential Responsibilities and Duties: Includes the following. Other duties may be assigned.
Accounts Payable:
- Controls expenses by receiving, processing, verifying, and reconciling invoices. Referring discrepancies to purchaser.
- Reconciles processed work by verifying entries and comparing system reports to balances.
- Communicates with and responds to vendor requests.
- Charges expenses to accounts and cost centers by analyzing invoice/expense reports; recording entries.
- Reconciles reports for timely payables, monitoring of discount opportunities, verifying federal id numbers, and resolving purchase order, contract, invoice, or payment discrepancies and documentation.
- Ensures credit is received for outstanding memos.
- Issues purchase order amendments.
- Receiving, classifying and verifying expense reports.
- Verifying vendor accounts by reconciling monthly statements and related transactions.
- Reconciles reports for timely payables.
- Maintains historical records by digitally archiving and filing documents.
- Accomplishes accounting and organization mission by completing related results as needed.
- Performs other duties and responsibilities as assigned.
- Works as a team member and reports all matters of concerns to the Accounting Lead
Other Duties:
- Create special order SKU’s
- Responsible for Store 6 files from creation to completion with emphasis on document collection and follow-up for timely invoicing
- Back up invoicing as needed
- Other duties as assigned

- Experience with Epicor
- Proven accounting experience, preferably as an Accounts receivable clerk or Accounts payable clerk
- Familiarity with bookkeeping and basic accounting procedures
- Competency in MS Office, databases and accounting EPR software
- Hands-on experience with Excel spreadsheets and financial reports
- Accuracy and attention to detail
- Data entry and word processing skills
- Manage multiple priorities and projects effectively
- Ability to read and comprehend detailed instructions, to write detailed correspondence, and to communicate information to customers and employees in English
