The Contract Administrator position, under direct supervision and working closely with the Business and Estimating Manager, is responsible for managing the entire contract process from proposal to execution.
Key duties include
- participating in proposal development
- completing documentation for project bid bonds
- preparing special insurance documents
- distributing RFPs to subcontractors and suppliers, and managing the signature process for contracts.
- Heavy Civil Construction experience
- Experience with TXDOT
Responsibilities
- Reviewing and ensuring boilerplate language aligns with company standards, distributing contracts for internal review, organizing quotes during the bidding process, and evaluating new client boilerplate language.
- Supports subcontract management, understands contract pricing and terms, maintains organized contract files, and performs office management tasks such as compliance reporting and invoice processing.
- Setting up subcontracts and purchase orders in Viewpoint, handling administrative purchasing tasks, and providing excellent customer service. Other administrative duties may be assigned as needed to meet customer demands and maintain competitiveness.
The position requires a range of knowledge, skills, and abilities to effectively perform job functions.
Key requirements:
- Proficiency in computer software like Word, Excel, Outlook, and Viewpoint, with HCSS Heavy job experience being a plus.
- Experience with the RFP/RFQ process for heavy civil and infrastructure projects Possess strong communication and customer service skills, and demonstrate organizational skills with attention to detail.
- The ability to multitask and adapt to new software is essential.
- A Bachelor's Degree in finance or accounting is preferred.
- The work environment involves moderate noise levels and exposure to office equipment, and the role reports to the Estimating Manager while collaborating with various employees and vendors.
