Position Description

Position Summary:

Performs a variety of administrative activities including coordinating information and resources to support departmental operations and goals. Utilizes automated systems to input, process, monitor, and identify discrepancies in data/records relevant to departmental operations and services. Maintains communications with internal and external individuals and entities for the purposes of obtaining needed information, reconciling issues, or assisting with information requests. Responds to department related questions and issues.

Duties & Responsibilities:

The incumbent is responsible for executing the duties and responsibilities listed below and other duties as assigned. Some positions may require working before, during, or after an emergency or disaster at the department's discretion.

  • Inputs, processes, compiles, and reviews moderately complex data/records relevant to all employee drug and alcohol screening processes using automated systems and databases.
  • Coordinates logistics related to employee drug and alcohol screening including setting up and maintaining department accounts.
  • Maintains up to date records and information which includes creating and maintaining databases for Safety and Claims divisions and downloading claims data for Agenda database.
  • Reviews moderately complex information, records, communications, and invoices related to alcohol and drug screening and reconciles as needed to ensure accuracy and compliance.
  • Communicates and collaborates with internal/external staff, vendors and other entities as needed to coordinate drug and alcohol screening information and resources.
  • Creates and disseminates various reports, graphs, surveys and other communications on a regular schedule and as needed for the Safety division.
  • Serves as knowledgeable point of contact to handle questions, resolve issues, and provide information related to employee drug and alcohol screening.
  • Assists with various projects/programs as needed which includes preparing and distribute Non-Owned Auto Liability ID Cards for the Property and Casualty Insurance division and other administrative support as needed.

Requirements

Education:

  • High School Diploma, GED, or equivalent


Experience:

  • Three (3) years of directly related experience

General Information

Position Type and Typical Hours of Work:

  • Full-time Monday-Friday 8:00am-5:00pm
  • Schedules may vary based on the needs of the department and must be approved.


Work Environment and Physical Demands:

  • This job operates in a professional office environment and routinely uses standard office equipment such as computers, phones, photocopiers, etc.
  • This is a largely sedentary role that may require sitting for long periods of time.


Employment may be contingent on passing a drug screen and meeting other standards.
