Position Description

Under moderate supervision, the Executive Assistant will provide high-level administrative support to the Director of the Law Library. Individuals in this role will be responsible for calendar management, meeting preparation, creating and distributing presentations, conducting research, organizing events, providing office support, and preparing documents. This role will ensure the seamless coordination of the Director’s daily activities, including meetings, travel, and events, while maintaining a high level of professionalism.

The Executive Assistant must possess exceptional administrative and interpersonal skills, along with the ability to work independently, prioritize tasks, manage complex schedules, and exercise sound judgment in managing access to the Director.

Duties and Responsibilities :

  • Executive Support : Offers executive assistance to the Director by researching and collecting information for meeting preparation and decision-making; tracks project timelines, provides reminders for upcoming deadlines and deliverables, and maintains awareness of the Director's priorities to ensure that engagements align with strategic objectives. In addition, serves as the primary point of contact for individuals seeking to meet with the Director, exercising discretion and judgment in managing requests.
  • Communications & Correspondences : Tracks, reviews, and analyzes all incoming letters, memos, submissions, reports, and communications to determine significance, ensure timely responses, and inform the Director of any necessary actions. Edits and manages the distribution of all correspondences, keeps the Director updated on key contacts and outreach efforts, and maintains a well-organized record of communications.
  • Meeting & Event Coordination : Coordinates internal and external meetings, conferences, and lunches, ensuring all logistics are managed effectively. Tasks include preparing agendas, briefing materials, follow-up actions, binders, and other necessary materials.
  • Calendar Management : Maintains and manages the Director’s calendar by scheduling and confirming appointments, meetings, lunches, and events, and providing timely reminders for upcoming appointments.
  • Travel Logistics : Arranges and manages travel logistics, including transportation, lodging, and itineraries for local and out-of-state events, ensuring that all necessary materials, documents, and supplies are prepared.
  • Administration : Assists with document preparation and prepares, submits, and tracks the Director’s expense reports and reimbursements.
  • Additional Duties : Performs other related duties as assigned.

Education and Experience :

  • Bachelor's Degree in a directly related field from an accredited college or university and
  • Two (2) years of directly related experience including customer service and professional library experience.
  • Associate's Degree in a directly related field from an accredited college or university and
  • Four (4) years of directly related experience including customer service and professional library experience.
  • High School Diploma or G.E.D. equivalent from an accredited educational institution and
  • Six (6) years of directly related experience including customer service and professional library experience.
  • Knowledge, Skills and Abilities :

  • Proficiency in Microsoft Word and Excel, with experience in document formatting and spreadsheet management.
  • Strong organizational skills with a keen attention to detail and accuracy.
  • Excellent written and verbal communication skills.
  • High level of discretion, integrity, and professionalism in handling sensitive information.
  • Punctuality and reliability in managing time-sensitive tasks.
  • Strong attention to detail, with a focus on producing error-free documents and communications.
  • Well-versed in proactive problem-solving, seamless management of administrative duties, anticipating needs, and addressing issues independently.
  • Ability to manage complex calendars and scheduling needs.
  • Ability to work under pressure, meet deadlines, and adapt to changing priorities.
  • Strong commitment to meeting deadlines and ensuring accuracy in all work.

    General Information

    Located in downtown Houston, the Harris County Attorney’s Office represents Harris County government, the Harris County Flood Control District, the Harris County Toll Road Authority, and the Greater Harris County 9-1-1 Emergency Network in all civil matters, including lawsuits. The office also provides legal advice to county officials and employees.

    Work Environment & Physical Demands :

  • This position is based in an office environment, where the use of standard office equipment such as computers, phones, scanners, and filing cabinets is routine. The physical demands associated with this job are minimal, with occasional lifting and moving of objects weighing up to 10 pounds. The role is predominantly sedentary, involving mainly sitting with occasional standing and walking.
  • Position Type & Typical Hours of Work :

  • This is a full-time position with the typical work hours of Monday - Friday from 8 AM to 5 PM. Occasional weekends, holidays, and overtime may be required based on the specific needs and demands of the department.
  • Physical and Mental Demands :

  • This role requires exerting up to 20 pounds of force frequently, and / or a negligible amount of force constantly to lift, carry, push, pull, or otherwise move objects, including the human body, repetitive motions requiring dexterity such as keyboarding that may include the wrists, hands, and / or fingers, driving, communicating with others to exchange concepts and information, problem-solving, decision-making, organization, the ability to read / write, and the ability to manage workplace stressors such as adversarial interactions.
  • Compensation :

  • The base compensation for this position will be determined on the candidate’s qualifications and the pay of other employees in the job function. Total compensation includes attractive paid leave programs, health benefits, and retirement plans. In addition, the position is eligible for the accrual of compensatory time off for hours worked over 40 in a workweek, consistent with Harris County personnel policies and procedures.
