Job Overview
Responsible for making judgments concerning the authorization of services via pre-approved protocols, interfacing with physician offices and health plans on utilization issues. Coordinates the admission of patients.
Essential Duties And Responsibilities
- Communicate with physicians, nursing and other hospital staff members and external parties to coordinate and schedule the admission of a patient.
- Interviews patient and parent/guardian to obtain personal and financial data as part of the intake process.
- Interfaces effectively with HMOs Gather and process admission data in a timely fashion.
- Organizes the department workload and establishes work standards to promote efficiency and productivity.
- Conducts departmental staff meetings on a frequent basis if needed and solicits input on policies and procedure and processes.
- Motivates and manages staff to ensure that performance standards are met or exceeded.
- Gives timely and constructive feedback on performance, documents all correct counseling.
- Voicemails and faxes are addressed in a timely fashion.
- Demonstrates the ability to make decisions, take appropriate action and follow tasks through to completion.
- Information given is accurate and complete.
- Patients are not confirmed as being here without patient code and caller must be listed on the contact sheet or have assigned release.
- Information given is clear and understood by the patient.
- Ensures efficient telephone communication and the telephone is answered within three rings. Messages taken are accurate.
- The appropriate message forms are used.
- Respects the dignity, confidentiality, and privacy of patients.
- Complaints are handled in a professional manner.
- Abusive patients are referred immediately to security.
- Information from medical records is released in accordance with state regulations.
- Admission paperwork is completed thoroughly and accurately successfully and accurately creates and updates daily census.
- Recognizes and analyzes the implications of new situations and develops workable solutions to maintain productivity and morale.
- Acts as a role model in demonstrating the customer service standards of the organization.
- Responds cooperatively to managers and staff members in other departments to promote teamwork.
- Provides leadership and assistance daily to the department.
- Ensure that all appropriate laws and regulations governing healthcare finances are followed.
- Directs the preparation of all reports, spreadsheets, and other department documents, including committee meetings.
- Provides timely annual reviews of the admission staff.

Secondary Job Duties That May Be Assigned
- Performs other duties as assigned.
Participates in all Harsha Behavioral Center’s safety programs which may include assignment to emergency response teams, or other duty assignments under the hospital Incident Command System when the Emergency Operation Plan is activated.
Professional Requirements Education, Experience and Training Required:
- Two year college degree preferred.
- One to two (1-2) years experience in healthcare preferred.
- One two years (1-2) years experience in leadership preferred.
