POSITION SUMMARY: The Fleet and Facilities Coordinator is a full-time position responsible for managing the maintenance, efficiency, and safety of the company’s vehicles, facilities, equipment, and tools. This role requires both hands-on work, such as performing minor repairs and maintenance, and coordinating with vendors for more complex tasks.
Key responsibilities include planning and performing routine vehicle maintenance (e.g., oil changes, tire rotations, and minor repairs), overseeing building and equipment upkeep, managing tool inventory, and supporting warehouse safety and workflow. The Coordinator also ensures compliance with safety and regulatory standards, tracks budgets, and drives process improvements. This position works Monday through Friday, with occasional weekend work as needed, and plays a vital role in ensuring smooth and efficient operations across all areas.

POSITION RESPONSIBILITIES:
Fleet Management
- Plan and oversee fleet maintenance schedules to ensure all vehicles remain operational, reliable, and compliant with safety regulations.
- Perform routine maintenance tasks onsite, including oil changes, tire rotations, and minor repairs, to minimize downtime and reduce external service costs.
- Manage vendor relationships for outsourced fleet maintenance, major repairs, and leasing agreements, ensuring quality service and cost-effectiveness.
- Track and report key fleet performance metrics such as fuel efficiency, maintenance costs, vehicle utilization, and downtime, providing actionable insights for optimization.
- Ensure fleet registration, insurance, and licensing are up-to-date and fully compliant with all local, state, and federal laws.
- Oversee the disposal, sale, or liquidation of vehicles at the end of their service life, maximizing residual value while ensuring proper documentation and compliance.
Facilities Management
- Supervise the maintenance and repair of all company facilities, ensuring compliance with safety regulations and operational standards.
- Coordinate and manage relationships with contractors and vendors for facility improvements, repairs, and preventive maintenance programs.
- Manage budgets related to facility upkeep, utilities, and improvements.
- Respond promptly to emergencies or issues affecting building security, utility services, or operational functionality.
- Ensure cleanliness and proper upkeep of all exterior and interior areas, including parking lots, landscaping, and common spaces.
Equipment & Tool Management
- Oversee the inventory, maintenance, and repair of company equipment and tools to ensure availability and reliability for daily operations.
- Develop and maintain a detailed tracking system for tools and equipment, including check-in/check-out processes and condition monitoring.
- Schedule and perform routine maintenance on tools and equipment to extend their service life and reduce unexpected downtime.
- Manage vendor relationships for equipment repairs, replacements, and procurement, ensuring cost-efficiency and quality.
- Ensure all tools and equipment meet safety standards and are compliant with industry regulations.
- Monitor and manage budgets related to tool and equipment purchases, maintenance, and repairs.
- Implement loss prevention measures and ensure secure storage of tools and equipment.
- Conduct regular audits of tool and equipment inventory to maintain accurate records and identify gaps or surplus items.
Warehouse Operations Support
- Collaborate with warehouse teams to ensure proper storage and workflow, maintaining inventory accuracy and operational efficiency.
- Support safety initiatives in the warehouse, including routine inspections of equipment and adherence to OSHA standards.
- Oversee the maintenance and availability of material handling and other rolling equipment
General Leadership
- Drive process improvements and cost-efficiency in fleet and facility operations.
- Maintain compliance with all safety, environmental, and organizational policies.
- Perform other duties as assigned to support operational excellence.

REQUIRED EXPERIENCE, EDUCATION, AND ABILITIES:
- 3 years of experience in fleet and facilities or similar roles.
- Strong knowledge of fleet management systems and maintenance practices.
- Familiarity with facilities operations, building systems, and compliance standards.
- Excellent organizational, communication, and problem-solving skills.
- Proficiency in tools such as Microsoft Office Suite and fleet/facility management software.
PHYSICAL REQUIREMENTS:
- Regularly required to walk, stand, and drive to various job sites.
- Ability to lift or move up to 50 pounds.
- Ability to operate material handling equipment.
- Capability to work in diverse environments, including outdoor conditions.
WORKING CONDITIONS:
- Combination of office-based, vehicle, and on-site work at facilities and warehouses.
