The Job
A Sales Support Specialist is a part of the accounting team and contributes to the success of Hartwig by supporting our Sales team by accurately processing order entry and purchasing related to equipment and accessory sales. The customers we serve are in a variety of industries and rely on the Hartwig team to repair, inspect and troubleshoot their machine tool equipment. Main responsibilities of this full-time position based in our St. Louis office include:
- Generates customer AR statements in Dynamics GP, receiving cash and communicating AR information with internal collection teams.
- Creates accurate order documentation in the accounting system (Salespad) for machine and accessory projects.
- Communicates with sales team, vendors and customers throughout all aspects of the machine order process.
- Prepares invoices and credits, researching questions, and adjusting invoices.
- Uses reports, tools and a variety of office systems to process orders, support sales and maintain customer relationships.
- Generates month end reports, reviewing and balancing accounts
- Prepares and maintaining timely state UCC (Uniform Commercial Code) letters, documentation, and filings.
- Works cohesively with other accounting department team members on tasks that arise.
The Skills - Individuals who ideally fit this role should meet the following qualifications:
- Two- or four-year degree in business related field preferred
- Two or more years administrative experience required, preferably in a manufacturing or distribution environment
- Experience in Accounts Payable helpful
- CRM and accounting software experience helpful - Microsoft Dynamics GP, Salespad preferred
- Proficiency in MS Word, Excel and Adobe DC
- Consistent attention to detail and follow through with ability to adapt to changing priorities is very important
- Proven numerical, problem solving and decision-making ability
- Analytical thinking and systems/process driven
- Excellent interpersonal skills such as collaboration, listening, respect and work ethic, which lead to lasting and trusting relationships with team members and customers
