Overview:
The Special Events Manager is responsible for soliciting new catering accounts, maintaining relationships with existing clients, and ensuring exceptional member satisfaction. The role involves developing innovative ideas to promote business while upholding high standards and exceeding food and beverage revenue goals. This position pays $78,000 plus commission.
Responsibilities:
- Catering Accounts Management:
- Solicit new catering accounts and nurture relationships with existing clients to exceed food and beverage revenue goals.
- Provide availability, pricing information, and review menu items.
- Conduct outside sales calls, site inspections, and maintain written communication with clients.
- Client Correspondence and Reports:
- Prepare correspondence to members and internal booking reports.
- Implement and maintain a trace system.
- Enter functions into Northstar.
- Follow up and finalize all details with clients.
- Meetings and Coordination:
- Participate in weekly catering meetings, sales strategy meetings, pre-convention meetings, training sessions, and other sales-related meetings as required.
- Collaborate with other departments to deliver quality service to members.
- Attendance and Compliance:
- Maintain regular attendance in compliance with the standards of the Harvard Club of New York City.
- Adhere to Club rules and regulations for the safe and efficient operation of Club facilities.
- Scheduling and Deadlines:
- Work varying schedules to accommodate business needs, including weekends and holidays.
- Prepare contracts promptly and follow up with clients to ensure timely return.
- Community Representation and Supportive Functions:
- Represent the Club professionally at community and industry events.
- Assist with projects, reports, and data collection.
- Participate as a team player in all departments.
- Problem Resolution and Feedback:
- Address guest complaints promptly.
- Keep immediate supervisor informed of problems requiring attention.
- Inform the kitchen, banquets, and stewarding departments of accurate guest counts for plating.
- Review menu and service details with banquet managers and chefs.
Qualifications:
- Minimum of 5 years of progressive experience in the luxury hospitality industry, including 5 years in an upscale banquet environment.
- 4-year college degree required.
- Strong knowledge of service standards and various service types.
- Ability to multitask, prioritize functions, and meet deadlines.
- Approach interactions with guests and employees in an attentive, friendly, and courteous manner.
- Ability to maintain confidentiality of information.
- Attend all required Club meetings and training sessions.
- Maintain a warm, friendly demeanor at all times and remain composed under pressure.
