Position Description
The coordinator works independently with minimal supervision in a fast-paced work environment with multiple and conflicting priorities. This individual excels at multi-tasking, anticipates and proactively resolves problems, is a team player, and handles confidential information with discretion. They deliver excellent customer service to alumni, volunteers and donors, and works collaboratively with other support staff and colleagues across HBS and Harvard University.
At the team level, they support the work of the Senior Director of Development in the following ways:
- Coordinate team projects
- Maintain team reports and key Class Giving dashboards Identify and execute on needs for new reporting and data analysis
- Coordinates and strategizes around streamlining best practices across the team
- Assist with gathering and creating the RLG team agenda, creating agenda for monthly RLG Officer Workshops & participates in the planning and execution of an annual retreat
- Work on other projects to support the efforts of the class giving team as needed
- Serves as the internal point person for GiveCampus, our volunteer fundraising technology platform
- Tasks may include training fundraising staff and alumni volunteers on how to use GiveCampus tools for solicitations
- Manages the platform with broad communication needs and adjustments to data, reports and output
- Generating fundraising class reports
- Preparing email and written correspondences
- Communicating with alumni volunteers
- Preparing officer travel material and follow up
- Updating prospect management data and maintaining data integrity
- Executing various project management tasks Overseeing the planning of some events
- Assisting with appeal mailings
- Other related duties as needed to ensure successful completion of campaigns
- This role is responsible for other duties as assigned
Basic Qualifications
- High School Diploma, GED, or equivalent is required
- College degree strongly preferred.
- 5 years of experience in administrative support role(s) is required
- Education beyond high school may count toward experience
- Microsoft Office (Word, Excel, PowerPoint, and Outlook) experience is a must
Additional Qualifications and Skills
- Proven communication and interpersonal skills (written and verbal) with experience providing complex administrative support
- Must be highly organized, detail-oriented, and able to work independently
- Possesses the ability to establish and promote good working relationships with colleagues both peers and more senior staff, alumni, and donors
- Flexible and able to prioritize and handle multiple tasks in a fast-paced environment from different supervisors with competing priorities
- Able to take initiative and work independently to meet deadlines and also be a strong team player
- Possess the ability to handle highly confidential material with tact and discretion is required
- Working knowledge of Microsoft Excel, strong familiarity with all Microsoft applications, and facility with learning new software / databases
- Excellent customer service skills required for frequent interaction with donors, alumni volunteers, and colleagues. Anticipates and resolves problems to effectively fulfill these responsibilities
- Familiarity with Advance Web or other Customer Relationship Management programs/reporting tools and a working knowledge of complex excel functions a plus
- This role is responsible for other duties as assigned
Additional Information
This is a hybrid position which we consider to be a combination of remote and onsite work at our Boston, MA based campus. HBS expects all staff to be onsite a minimum of 3 days per week and departments provide onsite coverage Monday – Friday. Specific hours and days onsite will be determined by business needs and are subject to change with appropriate advanced notice.
