OBJECTIVES
- Ensure precise data entry of patient information, insurance details and provider information into EMR systems to facilitate error-free record keeping
- Verify that clinic records contain all necessary information required for insurance reimbursement and accurately collect insurance co-pays
- Schedule promptly and accurately, electronically
- Follow up with cancellations, actively pursuing rescheduling appointment time as needed to maximize patient progress
- Generate daily reports of scheduling activity providing insights into cancellation trends, staffing needs and areas for improvement or further training to maximizing available appointment times
- Address patient inquiries regarding billing matters and scheduling conflicts, providing clear explanations and resolutions to ensure patient satisfaction
- Maintain cleanliness of lobby as well as control of the environment for all patients and visitors comfort
- Maintain cleanliness of bathroom areas
- Disperse deliveries to appropriate department
- Ensure trash receptacles throughout the facility are emptied in a timely manner
- Launder towels and other direct patient contact linens keeping fully stocked for daily use
COMPETENCIES
- Ability to meticulously enter and review patient information, insurance details to ensure accuracy and minimize errors
- Proficiency in managing multiple tasks simultaneously, handle multi-line phone systems, prioritizing workload effectively, and maintaining orderly documentation patient request for appointment times
- Strong verbal and written communication abilities to interact professionally with therapy staff, patients, and other office personnel as well as familiarity with medical terminology
- Aptitude for identifying and resolving appointment cancellations and other schedule issues promptly and efficiently to optimize appointment efficiency
- Capability to work efficiently within deadlines, complete scheduling tasks promptly, and adapt to changing priorities or urgent requests as needed
- Dedication to providing exceptional service to patients, addressing their appointment schedule needs with patience, empathy, and professionalism, and striving to resolve issues promptly to ensure patient satisfaction
- Flexibility to adjust patient schedule multiple times throughout the day, with a willingness to learn and adapt to new systems and processes
- Commitment to upholding confidentiality, integrity, and ethical standards in handling sensitive patient information, billing practices, and interactions with patients while maintaining HIPPA regulations at all times
These qualifications are essential for success in this role of Patient Care Specialist in our high volume clinics within a fast pace environment.
EDUCATION AND EXPERIENCE
- A high school diploma or equivalent is required.
- An associate's degree in a relevant field such as healthcare administration, or business administration is preferred but not always required
- At least two years of experience in clerical/office support work is desired, particularly in a healthcare setting
- Experience in medical scheduling with a high volume patient care healthcare facility is highly advantageous
- Familiarity with scheduling software, electronic health record systems, and Microsoft Office Suite or similar software is beneficial
PHYSICAL REQUIREMENTS
- The ability to sit for extended periods at a desk while performing billing tasks, entering data, and managing paperwork
- Occasionally lifting objects weighing up to 15 pounds, such as files, paperwork, or office supplies
- Proficiency in working on a computer, including typing, data entry, and using scheduling software or electronic health record systems
- Some mobility may be required within the office environment, such as moving between workstations or accessing filing cabinets
- The ability to use hands and fingers to operate a computer keyboard, mouse, and other office equipment accurately and efficiently
