Position Summary: The Intake Coordinator is responsible for the intake, move in and orientation, and transition process of residents at Harvest Home’s residential home in Venice.
Primary Responsibilities
- Oversee the intake process including phone screenings, in-person interviews, determining eligibility and referrals
- Ensure all intake calls and/or online intake forms are answered professionally within a timely manner and entered into the intake database
- Collaborate closely with the residential team to ensure all bed vacancies are filled
- Oversee the move in process including a belongings search, COVID and drug testing and home/program orientation
- Ensure that all entering residents are enrolled into resident database within 24hrs of entering program.
- Assist in conducting orientation of all new intakes on program expectations
- Conduct room flips which involve cleaning and staging rooms and preparing welcome baskets
- Collaborate with the Care Coordination team regarding move ins and move outs
- Input, maintain, and organize detailed, accurate, high-quality documentation in resident files and database
- Develop and maintain close working relationships with local service providers, outreach workers, case managers, etc.
- Provide and/or coordinate crisis intervention assistance
- Coordinate volunteer support for intake process and room flips
- Support case manager with client resource coordination and transportation needs, as available
- Attend events to do outreach, meet with partnering agency meetings (DPSS, etc.), housing fairs, campuses, etc.
Staff Duties
- Attend staff meetings, training, and events
- Monday – Friday with availability to occasionally work nights and/or weekends as needed for crisis, emergency, and/or events
- Other duties as assigned
Qualities and Skills
- Resourceful, motivated self-starter with the ability to manage time well and work autonomously; to manage multiple tasks and priorities, including proficiency in balancing direct service responsibilities with program, documentation, and organization responsibilities
- High EQ in order to foster respective and appropriate relationships with residents in order to serve our population well including an understanding of and sensitivity to concerning homelessness, trauma, mental health, etc.
- Demonstrate understanding and awareness of substance abuse and/or negative behavioral health symptoms.
- High level of self-accountability and ethical standards
- Strong Communication (open, honest, humble) and Organization Skills. We value solution-oriented feedback and problem solving.
- Strong administrative skills and proficiency in Microsoft Office Suite (Word, Excel, Outlook) required
- Ability to set, model, and uphold appropriate personal and professional boundaries and relationships with staff, residents, volunteers, and community providers
Preferred Qualifications
- 2 years' experience in social service field (non-profits, government, missions, etc.)
- Experience working with many of the following: high-risk populations, women, homelessness, pregnancy, victims of trauma, mental health, substance use, domestic violence, foster care, DCFS
- Skilled in Trauma-Informed Care, Resident-Centered, Solution-Focused, and an empowering strengths-based approach
- Prior experience working in a shelter, group home, and/or residential treatment program.
- Crisis-intervention and/or de-escalation training, skills, and/or experience
Other Requirements
- CA Driver’s License and Personal Vehicle for occasional resident transportation
- Smart phone that is compatible with work-related apps
- Comprehensive employment and criminal background check
- Compliance with COVID-19 safety requirements including proof of full vaccination
- Acceptance of organization ministry standards (to be provided after application)
- Physical requirements: Job frequently requires sitting for extended periods of time, Must be able to lift 40 lbs
