Logistics & Work Environment :

This full-time position is primarily based in an office environment at our Midlands (Columbia) branch.

Standard hours of operation are 8 : 00 a.m. to 4 : 00 p.m., totaling 37.5 hours per week, though occasional response to organizational needs outside of regular hours may be necessary.

A Day in the Life :

The Grants Project Coordinator is responsible for helping to secure, document, and track corporate, association, foundation, and government grants for Harvest Hope Food Bank, contributing to an annual revenue goal of over $1.0 million. This position works in a high-volume, fast-paced environment to provide post-award administrative support to Grants Manager. The Grants Project Coordinator will work cross-departmentally to ensure alignment and funding of key initiatives for the organization.

  • Supports the Grants Manager in prospecting and researching of new grant funding opportunities.
  • Assists with the writing, editing, and compiling of grant proposals and reports to ensure timely submission.
  • Prepares, compiles, and maintains up-to-date grant proposal and report attachments.
  • Maintains absolute confidentiality regarding all donor records, transactions, data, research, and communications, respecting the anonymity of each donor's identity, as directed by the donor and department policy.
  • Assigns project manager for each grant and coordinates communication, grant project workbook, and reporting throughout the life of the grant.
  • Ensures that grant awards are communicated to both the Branch, Fulfillment, Agency, and Finance Teams for tracking and compliance.
  • Coordinates social media requirements, recognition, and applicable publicity for grant awards and announcements with the Marketing and Communications Team.
  • Maintains complete and up-to-date records in donor database and accounting software, including grant documentation, and enters all relevant notes and actions in donor records.
  • Monitors paperwork and maintains records for grant restrictions and deliverables in hard copy and electronically.
  • Helps monitor and maintain the organization's grants calendar, pulling information from the database as needed.
  • Provides additional administrative support for grant-related activities.
  • Protects Food Bank assets; ensures correct information is entered into database and appropriate electronic and hard records are kept for each solicitation.
  • Serves as Subject Matter Expert for institutional giving in the donor database.
  • Responds to requests for information related to audits and internal accounting.
  • Other duties as assigned.

To Qualify for this Position, you must have :

  • High school diploma or equivalent; 4-year degree in a related field preferred.
  • Two years of experience in nonprofit fundraising with an emphasis on grant writing.
  • Superb writing and editing skills with ability to translate program initiatives and impact into strong solicitation letters, proposals, and reports for a variety of audiences.
  • Solid understanding of best practices in institutional giving; familiarity with local business and foundation community a plus.
  • Experience working with prospect research tools, donor databases and Microsoft Office applications.
  • Ability to prioritize and manage multiple projects at once in fast paced, deadline-driven environment.
  • Ability to work independently and as part of a team.
  • Self-starter, strong organizational skills, attention to detail and creative problem solving.
  • Excellent communications, interpersonal and customer service skills; comfortable with public speaking.
  • Ability to attend work functions outside of normal work hours, on weekends and evenings, as needed.
  • Must be able to clearly articulate the mission of Harvest Hope Food Bank.
  • Ability to relate effectively and professionally with other staff, volunteers, agency representatives and the public.

    We offer competitive pay ranging from $45,000 - 55,000 annually, equal with experience and qualifications.
