What are the responsibilities and job description for the Office Administrator position at Haskell Corporation?
Haskell Corporation, a family owned, fifth generation construction company, located in Bellingham Washington, is looking for an Administrative Assistant / Receptionist. This is an entry level position with potential for growth and a long-term career opportunity.
We are looking for someone with a Positive, Can Do attitude who is willing to take on a variety of tasks while also seeking to learn new skills and broaden their responsibilities. Interaction with the public and co-workers in a professional, respectful, and courteous manner is essential.
This is a full time, Monday – Friday, 8am to 5pm position.
Responsibilities include:
- Main entry reception. This includes greeting clients, determining their needs, and contacting the corresponding Haskell personnel if appropriate.
- Arranging business travel plans for staff – flights, hotels, rental cars, etc.
- Distributing incoming mail and preparing all outgoing mail, including expedited and certified deliveries.
- Arranging and planning corporate functions – Christmas party, summer picnic, etc.
- Assisting accounting staff in document processing.
- Answer general calls and forward to appropriate personnel.
- Scheduling of conference room for meetings and preparing or arranging for appropriate amenities and refreshments for participants.
- Maintaining the corporate Out-of-Office calendar and daily notifications to all staff.
- Ordering and stocking the office kitchen supplies, coffee, tea, snacks, etc.
- General secretarial duties using Word, Adobe, etc.
Qualifications
- Proficient in Microsoft Office and Google Suite
- Strong clerical and administrative experience
- Excellent customer service and phone etiquette skills
- Familiarity with multi-line phone systems and front desk operations
- Organizational skills with a focus on time management
