Job Description:
The Executive Assistant (EA) to the President will provide one-to-one high-level support to the newly-promoted President, managing her calendar, overseeing special projects, managing her inboxes, workflow and partner relationships including with the board of directors and senior management. This is an incredible opportunity for an experienced EA to grow this role into a more Senior role over time. This role will also assist the President with preparing for President’s reports and Board packs, as well as providing note-taking during board and committee meetings. Our dynamic and people-focused President is seeking an extremely organized, detail-oriented, confident, and diligent right hand who can help her run her ever-changing schedule and workflow, achieve multiple goals, and activate her best use every day. The ideal person is mission-driven, cares about improving student outcomes, equity and social impact. Diplomatic, results-oriented, and able to handle confidential matters with discretion, they will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to calmly and clearly maintain a realistic balance with the President and partners amidst competing priorities. The Executive Assistant will thrive when working independently on projects, from conception to completion, and must have experience triaging tasks, planning ahead and managing expectations to be able to minimize pressure on themselves and the President as she delivers for her partners, team, and board.
Responsibilities:
- Communication: Providing administrative assistance, such as writing and editing emails, drafting memos, and preparing slide decks and communications on the President’s behalf
- Partnership and inbox management: Assisting the President with her inboxes (email, and other platforms). Maintaining a clear record of all deliverables from and to President and partners, team and board. Chasing deliverables from others, and planning President’s time to ensure that her deliverables are met.
- Calendar management: Managing the President's calendar including making/managing appointments, ensuring her team and partner facetime is consistently scheduled, troubleshooting conflicts, and creating balance by protecting space for her to work on her deliverables, complete professional development and allow adequate downtime.
- Meetings: Organizing meetings, including scheduling, confirming, sending reminders, and organizing catering when necessary
- Travel: Arranging travel logistics, including accommodations, transportation, conference registration, and meals
- Events: Planning internal and off-site events
- Bookkeeping & Filing: Performing basic bookkeeping including categorizing receipts and expenses; maintaining filing systems and contact databases
- Reports: Preparing reports, presentations, and memos
- Research: Research topics for the President, as needed
- Expense summaries: Preparing the President's monthly expense summary
Qualifications:
- Bachelor's degree preferred.
- Proven experience (2 years) as an executive assistant to a CEO/President, or c-suite level/similar role.
- Proficiency in Google Workspace (Docs, Sheets, Slides, Drive).
- Excellent organizational and time management skills, with the ability to prioritize tasks.
- Basic bookkeeping skills
- Strong attention to detail and accuracy in all work.
- Forward planner, actively seeks opportunities, anticipates needs, and proposes solutions.
- Superior customer service, correspondence, and interpersonal skills.
- Highly resourceful team player, with the ability to also thrive independently
- Experience handling confidential, legal and human resources information with discretion.
- Ability to adapt to and balance various competing demands and priorities.

Salary : $70,000 - $90,000
