Seeking a Front Desk Receptionist to serve as our patient’s first point of contact and oversee the front desk reception at Haven Acupuncture & Chinese Medicine. Responsibilities include scheduling, checking in / checking out patients, turning over treatment rooms, filing, input into marketing plans and social media, and administrative tasks.

Detailed responsibilities
· Deliver a consistent exceptional patient experience. Treat all patients with respect, appreciation, interest, kindness, and compassion.
· Answer the phone, answer general questions, schedule patients, and keep a phone log.
· Respond to patient email inquiries.
· Maintain updated and accurate records of bookings and payments in the scheduling and payment systems.
· Create new patient files and retrieve and return patient files each day.
· Greet patients and show them to the appropriate treatment room.
· Check out, receive payment, and reschedule patients.
· Recommend additional services as appropriate.
· Respect patient’s privacy and adhere to HIPAA guidelines.
· Address any questions or concerns in a friendly and timely manner.
· Turn over treatment rooms: change sheets and wipe down table and instruments.
· Complete daily task checklists.
· Maintain inventory of supplies.
· Make sure treatment rooms and bathrooms are stocked.
· Empty garbage as needed.
· When time allows, research and help with marketing and office-related topics.
· Provide input to and help execute patient feedback and retention plans.
· Help with office administrative work as needed, e.g., business cards, signage, etc.
· At the end of each day, share completed checklists and logs, and any patient questions or concerns. Use good judgement and communicate any pressing concerns as they arise.
Skills
· Work experience as a receptionist or similar role.
· Computer software proficiency, preferably experience with Square and Acuity, or similar applications.
· Excellent communication and organizational skills.
· Aptitude for taking direction and ability to consistently follow directions.
Work hours and Pay
· Monday, Tuesday, Wednesday, Thursday, and Friday from 9am - 3pm.
· $14 – 15 / hour.
· Unpaid vacation when the office is closed, and up to two calendar weeks of additional unpaid vacation.
Job Type: Part-time
Pay: $14.00 - $15.00 per hour
Expected hours: 30 per week
