Position Title: Personal Finance Intake Specialist
Reports to: Director of Programs
Overview: The Personal Finance Intake Specialist is responsible for providing direct client services and overseeing the intake process for new and prospective clients seeking financial coaching, housing counseling, and homebuyer education. This role ensures that all clients receive a seamless, high-quality experience from intake through service delivery, aligning with Hawaiian Community Assets (HCA)’s mission and standards. Additionally, the position includes supervisory responsibilities and collaboration with program staff to ensure client needs are met and processes are streamlined.
Key Responsibilities:
Intake Process Management
- Manage the intake of new clients seeking housing counseling and financial education, including scheduling, triaging cases, gathering necessary documentation, and preparing intake folders.
- Conduct intake interviews with clients to gather information for housing counselors and financial coaches.
- Ensure timely and accurate data entry and documentation for all clients in the intake system.
- Maintain open communication with program staff for smooth transitions and coordination of services.
- Screen and refer prospective clients who do not align with HCA’s mission/products to external partners and community resources.
Service Delivery & Client Support
- Conduct initial assessments and assist clients in accessing financial education and housing counseling services as needed.
- Provide support to clients throughout the intake process, ensuring they are well-informed and comfortable.
- Conduct individualized financial coaching and housing counseling on topics such as Financial Management, Housing Affordability, Fair Housing, Home Ownership, Avoiding Foreclosure, and Tenancy.
- Provide case management from client enrollment through exit from match savings accounts and HCL loans.
- Facilitate financial and housing education workshops (virtual and in-person).
- Refer clients to relevant services, including employment coaching, small business training, and additional resources based on intake assessments.
- Conduct loan closings and assist clients with tax preparation.
Outreach, Marketing & Partnerships
- Conduct outreach to promote HCA’s services and products and develop partnerships with community organizations, housing developers, and agencies.
- Maintain relationships with community partners to ensure timely and effective service delivery.
- Collaborate with the Community Relations Manager to promote the Intake and Information Line.
Compliance & Quality Control
- Ensure adherence to HUD and USDA regulations and maintain client confidentiality and dignity throughout service delivery.
- Collaborate with program staff to continuously evaluate and improve service delivery and intake processes.
- Attend team meetings and participate in trainings to ensure alignment with organizational goals.
Supervision & Staff Training
- Provide ongoing support, training, and supervision to administrative staff to ensure efficient intake processes and client service.
- Share knowledge with team members and contribute to organizational capacity building efforts.
Other Duties
- Perform other duties as assigned by the Director of Programs or Director of Operations.
Qualifications:
- Strong interpersonal, communication, and organizational skills with the ability to manage high volumes of client interaction.
- Experience in intake management, client services, or related fields.
- Experience in financial coaching, housing counseling, or related fields.
- Demonstrated ability to manage and improve processes, particularly intake systems.
- Knowledge of Hawaiian culture and values preferred.
- Ability to use Microsoft Office, Zoom, and other online platforms.
- HUD Certification (or willingness to obtain within 6 weeks).
- Background in social work, advocacy, or a human service-related field preferred.
Compensation & Benefits:
- $60,000 annually.
