Summary

Under limited supervision, the Chief Deputy Clerk oversees, coordinates evaluates and supervises all activities associated with the courts division of the County Clerk's office. This position assumes Assistant County Clerk duties in his or her absence. This position ensures proper support exists for local county and state government operations by providing staff direction, training and coordination. The Chief Deputy Clerk provides establishing criteria, assessing effectiveness or investigating or analyzing a variety of unusual circumstances. Assists the general public in person and over the phone; receiving, indexing and recording court case information and / or legal documents; entering and updating data into department databases; and providing copies of official court and / or legal documents to the public, courts, litigants, attorneys and other appropriate parties. Provide any other clerical duty necessary to the efficient operation of the County Clerks' office in accordance with department functions, policies and practices. The product of the employee's work may affect Hays County policy, the well being of several or the activities of other persons and organizations as a whole.

Individuals in this position serve at the pleasure of the current elected official.

Responsibilities

• Ensures established policies, procedures and programs are planned and implemented in accordance with established directives; reviews, assists in developing and implementing policy and procedures, as necessary, to improve department efficiency;
• Develops and maintains unit staffing plan to to ensure adequate work coverage during periods of peak workload;
• In cooperation with Assistant, develops performance standards for unit;
• Tracks unit performance;
• Develops unit policies and procedures consistent with departmental policies and procedures;
• Tracks developments and innovations in field and adapts them for local use;
• Develops strategies for resolving unit problems;
• Assists the Deputy Clerk III with training and work direction to subordinate staff.
• Provides supervision and work direction to subordinate staff.
• Trains and disciplines employees.
• Approves leave requests.
• Performs other duties as may be assigned by Supervisor.

Education and / or Experience

Any combination of experience or training may be substituted on a year for year basis.
