Job Overview:
Hays Electrical Services is seeking a highly organized and personable Front Desk & Marketing Assistant to serve as the first point of contact for our company while also supporting marketing efforts. This role is perfect for a proactive, creative, and detail-oriented professional who thrives in a fast-paced environment, enjoys engaging with people, and has a strong interest in marketing. The ideal candidate will ensure smooth front desk operations while contributing to branding, content creation, and marketing campaigns to drive business growth.

Key Responsibilities:
Front Desk & Administrative Duties:
  • Greet and welcome visitors, clients, and employees with professionalism and warmth.
  • Answer and direct phone calls, emails, and inquiries promptly and professionally.
  • Manage incoming and outgoing mail, deliveries, and office supply inventory.
  • Maintain a clean, organized, and presentable front desk and lobby area.
  • Assist with scheduling meetings, conference room bookings, and company events.
  • Provide administrative support, including data entry, document preparation, and maintaining company records.
Marketing Support Duties:
  • Assist the Marketing Manager in executing marketing strategies and campaigns.
  • Prepare RFQ/RFP responses, ensuring creativity and compliance.
  • Design and distribute marketing materials, including flyers, email campaigns, and advertisements.
  • Maintain and update proposal resources, photos, graphics, and project profiles.
  • Help refresh and enhance the firm’s brand image across all collateral materials.
  • Assist with maintaining the company’s website and social media platforms with relevant content.
  • Support the redevelopment of electronic marketing materials and company newsletters.
  • Assist with company events, trade shows, and community outreach efforts.
  • Conduct market research and compile reports on industry trends and competitor activities.
Qualifications & Skills:
  • High school diploma required; Associate’s or Bachelor’s degree in marketing, business, communications, journalism, public relations, or graphic arts preferred.
  • 1-2 years of marketing, administrative, or front desk experience, preferably in the A/E/C industry.
  • Strong communication and customer service skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Experience with Adobe Creative Suite (InDesign, Photoshop, Illustrator), and Canva.
  • Familiarity with Deltek Vision, Salesforce.com, or comparable CRM platforms is beneficial.
  • Strong organizational skills, attention to detail, and ability to multitask.
  • Demonstrated ability to be proactive, creative, and adaptable in a fast-paced environment.
