Primary Purpose of Position

Coordinates the pre-award planning, organization, and preparation, and the post-award administration of various grants. Interacts with investigators and administrative staff to ensure that grants are in compliance with regulatory, funding agency, and policy requirements. Provides guidance and support to investigators in the identification and development of grant opportunities. May serve as key project lead on grant depending upon size and scope.

This is a full time non-exempt, para-professional, staff position, supported by grant funding.

Essential Job Duties

  • Actively participate in the college planning processes to ensure integration with grant development and implementation.
  • Coordinate with Director of IERG, President, Executive Council, Foundation office, and other administrators in developing annual plan and calendar of grant submission that support college priorities and needs.
  • Provide regular updates and reports on grants activities to the President, Executive Team, President's Council, Board of Trustees, Foundation Board, and others as requested.
  • Coordinate all phases of the grant proposal, development, writing, and submission in cooperation with faculty, staff, administration, and college departments serving as the primary preparer of grant proposals and applications.
  • Serves as a liaison between administration, granting agencies, business office, and any other relevant stakeholders in the budgeting and preparation of grant proposals; researches agency requirements and compiles and prepares comprehensive budget justifications;
  • Prepares and compiles all components of each grant submission, ensuring that the proposal is formatted, packaged, and submitted in accordance with granting agency requirements.
  • Foster collaboration among departments by providing information that supports the teaching, learning, and administrative functions of the college.
  • Advises and / or assists as appropriate in the design, formatting and preparation of grant documentation, to include creation of computerized statistical summaries and / or graphics.
  • Develops and maintains specialized databases and systems for recording and tracking grant proposals, awards, and related statistical information; creates and distributes standard and special reports, studies, summaries, and analyses, as required.
  • Develops and maintains a library of reference documentation, including such information as funding agency requirements and forms, investigator profiles and curriculum vitae, abstracts and reference literature, and other pertinent material.
  • Monitors and coordinates the administration of post-award grants to ensure that budgeting and administrative policies, procedures, and agency requirements are being followed; manages administrative problems and / or budget changes occurring during the awarded granting period.
  • Maintains knowledge of grant funding policies, regulations, and procedures; disseminates and / or presents changes to departments and advises on the implementation of changes, and on the impact of changes on funded operations.
  • Serve as the final check-off on all grants originating with the college prior to submission and approval of signatures.
  • Responsible for all required grant reports to funding agents or agencies as well as budget oversight for grants in collaboration with Executive Team.
  • Maintain up-to-date knowledge of analytic techniques and technologies and grants development and management through professional development.
  • Assure institutional research ethics and confidentiality are modeled and maintained in all aspects of data management and reporting.
  • Maintain behavior in accordance with professional code of conduct and ethics and exercise a professional and customer service orientation in performing job duties.

  • Serve as technical advisor to committees as required
  • Interact with students, the public, the community, and co-workers in a cooperative, courteous, and professional manner
  • Serve on appropriate committees and teams as assigned
  • Comply with the college's policies and procedures
  • Represent the College in local, regional, state-wide, and national technology organizations
  • Some travel in college vehicles may be necessary
  • Qualifications

    Minimum qualifications

    Bachelor's degree in information technology, social / behavioral sciences, education, mathematics, or related field with at least 1 year of experience to support ability to do the primary job duties. Associates degree acceptable with indicative job experience of 2-3 years of grant writing and management.

  • MS Office experience, especially MS Excel and Word.
  • Ability to communicate effectively orally and in writing.
  • Ability to determine informational needs, to collect and analyze information, and to devise and develop statistical analyses and reports.
  • Demonstrated skill in organizing resources and establishing priorities
  • Preferred qualifications

    Bachelor's degree and 3-5 years of combined experience in grant writing, and grants management, with demonstrated experience in each. Demonstrated advanced skill in MS Excel and Word. Community college experience.

    Full-time : Employees working on a full time schedule in a permanently established position when the incumbent is expected to be retained in the position on a contracted basis. Full-time staff receive contracts for a specific length of time within a fiscal year. Full-time faculty receive contracts for an academic period within a fiscal year, as required by state law, and may be contracted on a month by month basis per instructional needs thereafter.
