Position Overview We are seeking a detail-oriented Administrative Assistant to support our company's daily operations. This role requires excellent organizational skills, proficiency in QuickBooks, and strong customer service capabilities.This is a part-time position that offers the opportunity to play a crucial role in maintaining smooth office operations while supporting various departments within our organization.
Key Responsibilities
Financial & Administrative
- Process and enter invoices in QuickBooks
- Collecting, tracking and reconciling credit card charges in QuickBooks
- Process certified payroll for state and federal projects
- Complete quarterly backups to Accounting Firm
- Maintain organized filing system for invoices and project warranties
- Handle vehicle registration renewals and Illinois Tollway account management
Reporting & Documentation
- Ensure accurate and timely submission of employee time cards by Monday deadlines
- Compile, prepare and distribute weekly reports
- Generate additional reports as requested by management
- Process and file signed project warranties
Customer Service
- Handle incoming phone calls professionally and efficiently
- Process and bill service calls in GHL system
- Facilitates and maintain effective communication with clients and team members
Required Skills & Qualifications
- Strong attention to detail and organizational abilities
- Proficiency in QuickBooks
- Excellent customer service and communication skills
- Experience with data entry and report generation
- Ability to manage multiple priorities and meet deadlines
- Proficiency in Microsoft Outlook & Office Suite
Job Type: Part-time
Pay: $21.00 - $22.00 per hour
Expected hours: 25 per week
