Job Summary And Qualifications
The Administrative Assistant provides support functions for the Chief Operating Officer, VP of Operations, and Assistant Administrator and serves as the Compliance and Program Coordinator. Works with the Administrative staff in communicating with Medical Staff, maintaining all records, files, etc., in accordance with Joint Commission. Assists visitors and the public with any inquiry, problem or complaint presented, within the realm of designated authority. Serves as an information center supplying information requested or directing inquiries to the proper source. Problems that cannot be resolved are directed to any of the administrative staff after complete background information has been obtained for information.
POSITION RESPONSIBILITIES:
Coordinates the support activities for the COO, VP Operations and Assistant Administrator
Minimum 5 years Administrative Assistant experience, preferably in a hospital setting.
Minimum Education: High School graduate or equivalent

Coordinates the support activities for the COO, VP Operations and Assistant Administrator
- Manages support functions specifically for the Chief Operating Officer and serves as resource for VP of Operations and Assistant Administrator.
- Schedules MOR monthly meetings for Administrators with reporting Directors. Updates Administrator’s binder/handouts for 1:1 with CEO.
- Schedules high volume of meetings including reoccurring meetings with minimal conflicts. Provides agendas and other meeting details in advance of meeting for review. Sends reminders of upcoming meetings to attendees in advance. Coordinates meeting
- Coordinates monthly Operations Executive Meeting: calendar invitations, agenda, thank you notes to employees, notes/minutes
- Completes Kronos for directors of COO/Assistant Administrator/VP of Development.
- Submit eSAF requests as requested.
- Travel and Concur Expense Reporting - Coordinates travel and expense reports including booking airfare, transportation, lodging, and registrations. Completes expense reports in concur timely saving to shared drive and copy to Accounting for reconciliation.
- Serves as Compliance and Program Coordinator
- Support of the Ethics and Compliance programs for HCA Houston Healthcare Clear Lake and the Clear Lake Administrative Officer(s) that serve as ECO/Co-ECO.
- Quarterly FECC Meetings:
- Calendars meetings and rooms for FECC meetings including conference with Division
- Prepares agenda packets, handouts, sign in sheets and coordinates follow-up of meeting recommendations
- Collects Physician Supervision call schedules and prepares data for reporting
- Submits minutes within required timeframe to corporate E&C department
- Distributes and tracks Ethics and Compliance policy updates
- Manages E&C binder with policies
- Coordinates NCD/LCD Tool Tracking
- E&C Site Visits
- Coordinates monthly department Compliance Process Questionnaire review
- Coordinates corporate and division E&C site visits
- Maintains Conflict of Interest Certification for managers and directors
- Calendars meetings and room and prepares catering requests
- Works with ECO to prepare ECO Newsletter
- Ethics Investigations
- Prepares and maintains E&C case investigation files
- Tracks E&C investigation audits
- Schedules investigation interviews
- Vendor Contract
- Conducts yearly Vendor Contract Evaluations
- Maintains Vendor Contract Log
- Director/Manager Processes:
- Submit eSaf request
- Provide Concur overview training
- Assist with department celebrations/unit recognition – census & productivity
- Maintains New Leadership Orientation binder: distribution & tracking
- HCA Good Government Fund Annually:
- Coordinates and manages fundraisers including catering for events; calendars meetings and rooms and prepares catering requests; collects, tally and submit funds to corporate.
- Coordinates new COO/Associate Onboarding:
- Assists with interview process for new Associate
- Coordinates office set up and orders supplies needed
- Transitions calendar for direct reports with Associate
- Other Administrative Functions:
- Heavy calendarin
- Back up for phones and reception duties.
- Assists with scheduling meetings rooms including Administrative Board Room and Physician Conference Room and others and webcasts as requested including registration, printing materials, and set-up of video equipment. Ensures Conference Rooms are neat and orderly following meetings.
- Orders flowers for hospital events, funerals, etc. as requested.
- Assist with special projects and site visits as requested by Administrative Staff and/or Chief Executives.
- Solves problems and makes decisions regarding the Administrative support functions, exercising independent judgment as appropriate.
- Back up hospital licensure, certification and accreditation tracking.
- Coordinate and attend offsite hospital department events.
