Job Summary
We are seeking a highly organized and efficient Construction Project Coordinator to support our Cost Management and Project Management teams. This role involves managing project documentation, facilitating communication among stakeholders, and ensuring smooth project execution. The ideal candidate will be detail-oriented, proactive, and eager to contribute to our team's success.
Responsibilities
Key duties include, but are not limited to :
- Organize files, maintain project directories, and prepare materials for meetings.
- Process, track, and distribute RFIs, submittals, change orders, and related requests.
- Maintain and update project schedules, calendars, and progress reports.
- Liaise with internal teams, subcontractors, vendors, clients, and design professionals.
- Assist with the preparation of AIA contracts, Purchase Orders, and monthly bank requisitions.
- Manage and distribute construction drawings, specifications, and addenda.
- Document, update, and distribute meeting agendas, minutes, and follow-ups.
- Provide administrative support, including proofreading documents and answering calls.
- Track and manage project-related insurance logs, daily reports, and compliance documents.
- Support performance tracking, ranking reports, and data collection to inform decision-making.
- Proficiency in Microsoft Office (Word, Excel, Outlook); familiarity with Procore is a plus.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication abilities.
- Ability to manage multiple projects and prioritize tasks in a fast-paced setting.
- Familiarity with construction documentation, including AIA contracts, drawings, and RFIs.
- A proactive, flexible, and team-oriented mindset.
- Genuine interest in construction and property development.
- 1 year of experience in an administrative or project coordination role (preferred).
- Location : Rockville Centre, NY – Candidates must reliably commute or plan to relocate before starting.
- Schedule : Monday to Friday (8am to 5pm)
