Primary/Essential Job Function: The Administrative Assistant reports to the Executive Director. This is a full-time (40 hours per week) position.
- Serves as the receptionist, greeting and assisting all visitors
- Screens all calls for the Executive Director
- Performs full data entry and office filing for organization
- Coordinates duplication of needed forms, memos and communications
- Maintains spreadsheets, including donor & volunteer databases
- Visit Sweet Charity daily to do cash register/deposit reconciliation with retail clerks
- Scan bills and deposits to CPA for entry in QB
- Process mail daily
- Ensure copier is loaded with paper every day and functioning
- Keeps us with office supply list and orders supplies when needed
- Prepare bank deposits for the Nest & Sweet Charity
- Make deposits weekly
- Scan donation log to staff writer and social media liaison
- Scan cash/check donations and writes thank you cards to donors
- Manages outreach banners
- Coordinates bank signatures for accounts payable
- Prepares Board Packets for new Board Applicants
- Other duties as assigned
Qualifications:
- Must have a high school diploma or GED and 1 year experience working with diverse domestic violence victims and/or survivors preferred
- Must have a valid New Mexico driver’s license and provide a clean driving record report from the NM Department of Motor Vehicles
- Must pass a national criminal background check
- Must have a negative tuberculosis skin test prior to employment
- Must complete CPR and First Aid class within 60 days of employment and Core Advocacy Training within 6 months, then 20 hours of annual training thereafter
- Must have excellent organizational and communication skills: speaking, writing, interviewing
- Previous public speaking experience preferred
Compensation
- The annual salary is $17.00 per hour, depending upon experience, payable every two weeks in twenty-six equal installments.
- Eligible for quarterly bonuses of up to $2000 total per fiscal year based on achievement of performance goals
