About New Mexico Military Institute:The New Mexico Military Institute (NMMI) is a state-supported, co-educational institution offering college preparatory education at the high school and junior college levels. With a student body of up to 1,000 cadets, NMMI provides a comprehensive academic experience complemented by Junior and Senior Reserve Officer Training Corps (ROTC) programs. The high school curriculum is fully accredited, preparing students for higher education. The junior college program facilitates cadet transfer to four-year colleges and universities. Additionally, NMMI houses the Intermediate Preparatory Academy (IPA) for grades 6-8. The IPA delivers a distinctive curriculum that emphasizes immersive, intensive, and hands-on learning in a structured environment.
Position Under general supervision, incumbents in this classification act as assistants to various administrators performing numerous tasks at the administrator's direction. They provide clerical and administrative assistance and monitor fiscal and budgetary activities to ensure the New Mexico Military Institute maintains a strong base for its programs. Administrative assistants provide budget tracking, monitoring, and procurement services for their respective departments. This is a non-exempt, 12-month, full-time position. The salary is $35,608.00 ($17.12 per hour). The job description is available upon request.
Tasks:
· Perform a wide variety of administrative functions within the Facilities Department; such as establish and maintain manual and automated systems, maintain databases and files, organizing and maintaining paper and electronic files and providing accurate, comprehensive information to internal and external patrons
· Monitor multiple budgets, process invoices and purchase orders
· Provide support services to staff, faculty, and cadets
· Compose correspondence, reports, and other written communications, and answer department calls/emails
· Plan and conduct research and special projects.
· Process and assign work orders to appropriate shop managers
· Other duties assigned
Essential Skills:
· Knowledge of office etiquette and processes
· Excellent interpersonal, written/verbal communication, customer service and public relation skills
· Ability to gather and analyze data and evaluate solutions and alternative to determine and effectively provide final recommendations
· Experience in organizing and prioritizing simultaneous work assignments to meet deadlines while maintaining strong attention to detail.
· Ability to maintain confidentiality of records and information
Qualifications:
Required:
· High school diploma
· Two (2) years of extensive clerical experience with computer hardware, software, and database management
· Promotes customer service and consideration of others.
· Skills in developing and administering budgets
Preferred:
· Bachelor’s degree
· Three (3) years of progressively responsible administrative experience.
· Bilingual
