What You’ll Do
The Front Office Manager is a key role in our practice, responsible for ensuring that our operations run smoothly and every patient takes with them the smile you give to them.
Your primary duties will include:
- Welcoming Patients: Check patients in and out with warmth and efficiency.
- Scheduling Management: Maintain control over the schedule to ensure smooth operations.
- Payment Processing: Collect payments for services and handle financial transactions accurately.
- Communications: Inform patients about office updates, promotions, and any relevant information.
- Metrics & Reporting: Run daily and weekly reports on key practice metrics to help track performance.
- Patient Experience: Go above and beyond to ensure every patient has an outstanding experience.
- Oversee Front Office Staff: Supervise the front office staff, and provide guidance, training, and feedback as needed.
Your responsibilities in detail (include, but not limited to):
I. Ensure a smooth and efficient front office operation:
- Oversee scheduling, patient communications, insurance benefit verifications, audits, collections, and general office tasks.
- Onboard new patients.
- Provide timely customer support; and seek guidance from management as needed.
- Liaise with patient, insurance billing team, and third party-payers.
- Coordinate with clinic providers to ensure high-quality patient service and care.
- Manage and implement new scalable systems as needed; and training for creating front office efficiency in the practice.
- Manage front office key performance indicators, with the guidance of management
- Maintain and update policies and procedures to enhance client satisfaction and operational effectiveness.
- Monitor inventory of office supplies and order as necessary to maintain operational efficiency.
- Comply and stay current with healthcare laws, regulations, and standards.
II. Manage front office staff:
- Understand and perform all the administrative roles of the front desk receptionist(s) and the client care coordinator(s) that you will be overseeing.
- Recruit, interview, onboard, and train new front office team members.
- Train, mentor, and evaluate front desk staff to enhance performance and maintain high service standards.
- Manage staff schedule, time-clock, and payroll, and cover shifts as needed
- Handle performance reviews and promotions, and terminations as needed.

Skills Required:
- Strong customer service skills with a focus on patient satisfaction.
- Prior experience as front office manager at a clinic or hospitality environment
- College degree preferred but industry experience takes top priority
- Strong organizational and multitasking skills.
- Excellent communication and leadership abilities.
- Ability to work independently and thrive in a fast-paced environment
- Familiarity with healthcare regulations and medical office procedures.
- Strong computer skills: productivity tools, softwares, Apple OS, spreadsheets, etc.
- Mindbody scheduling software, a plus.

- M: 12:30- 5:30
- T, W, Th: 7:45-3:45
- F: 8-1
- IMPORTANT NOTE: This role is in-person. The schedule listed is for the clinic's immediate requirement, and may change with time based on what's needed for optimal efficiency.
