Overview of the Position:
The Healing Haven is currently seeking a full-time Facilities Coordinator to join our team. The Facilities Coordinator will be responsible for ensuring the smooth operation and maintenance of our facilities. This role involves overseeing daily inspections to identify maintenance needs and safety concerns, coordinating with vendors and contractors, and managing cleaning and sanitization schedules. The Facilities Coordinator will work closely with management to ensure the buildings remain functional, safe, and compliant with clinical requirements, including maintaining proper furniture and supply placement. They also provide regular updates and reports on facility conditions, address emergency cleaning or maintenance issues, and ensure the building is always prepared for use.

Summary of the Essential Job Functions:
- Perform daily rounds to assess the building’s condition, identifying maintenance needs and addressing any immediate safety issues or concerns.
- Conduct monthly swing checks and keep accurate records of maintenance activities, repairs, and any safety issues identified during inspections.
- Research and obtain quotes for services from external vendors when necessary. Work closely with contractors to clearly define the scope of work and ensure that projects are completed according to specifications.
- Be available onsite to oversee contracted work, ensuring it meets quality, safety, and schedule requirements.
- Collaborate with management to maintain the building's operational efficiency and ensure it meets clinical requirements. Ensure that furniture is properly arranged, equipment is in the correct locations, and that necessary supplies are stocked and readily available.
- Provide regular updates and reports to management on the condition of the building, including maintenance activities, repairs, and any outstanding issues.
- Oversee the daily cleaning, sanitization, and restoration of clinic areas and high-touch surfaces throughout the building, including tables, windows, doors, and other areas.
- Manage and maintain the weekly sanitization schedule, ensuring cleaning tasks are completed thoroughly and on time.
- Provide immediate response to emergency cleaning or maintenance issues requiring prompt resolution.
- Empty trash receptacles, dispose trash into compactors and/or dumpsters, and bag trash for proper disposal.
- Maintaining client confidentiality under HIPAA guidelines.
- Other activities related to sanitation and upkeep of buildings and Healing Haven Property.
- This job will not involve repairs or assembly of equipment.
Minimum Experience needed to Apply:
- High School Diploma or equivalent required
- 1-3 years’ custodial working experience preferred
Minimum Requirements needed to Apply:
- Availability both during and outside of Healing Haven’s regular hours, including consistent early mornings and occasional after-hours support
- Ability to lift, push, pull up to 50 pounds
- Ability to bend, squat and be on your feet for several hours at a time
- Ability to read and follow Safety Data Sheets (SDS) and cleaning chemical labels
- Familiar with best practices for cleaning, disinfecting, and sanitizing offices, therapy rooms, common spaces
- Knowledge of safe disposal of chemical liquids and other hazardous components
- Confidentiality and trustworthiness
- Ability to work effectively and professionally with staff and clients
- Great attention to detail and conscientiousness
- Ability to adapt and learn in a growing work environment
