Administrative Assistant Job Description
The Administrative Assistant at The Center for Creative Healing enjoys and excels at client relations, organization, and accounts management. The assistant is welcoming to all people who connect with Creative Healing to include potential clients, current customers and team members. The assistant supports the office manager by upholding the business’ vision for success while managing the revenue cycle of the practice. The position is in person at our Patterson location at least 3 days per week, and remote the remainder of the time. Working days and times are flexible as long as availability overlaps 2-5pm. The part-time position is for up to 20 hours per week with an average of 15 hours per week. This position requires a motivated self starter employee with experience in billing and accounts management who is eager to be a part of a creative team.
Duties Include:
- Providing administrative support to the office manager
- Assisting with record keeping through EHR
- Assisting with special projects
- Providing coverage for defined projects for planned absences to support team
- Welcoming clients as they arrive at the Patterson office
- Clarifying billing questions from clients
- Providing revenue cycle management
- Collecting and posting payments from clients
- Managing FAPT payments
- Reconciling invoices from facilities
- Assisting with accounts receivable to include statements and collections
- Receiving mail weekly and posting payments
- Assisting with insurance issues to include aging, appeals and denials
- Organizing autopay list
Requirements:
· Proven experience as an administrative assistant, biller or accounts specialist
· Attention to detail and problem solving skills
· Strong organizational skills with the ability to multi-task
· Proficiency in MS Excel, Google Suite, EHR systems
· Knowledge of office management systems and procedures
· Excellent time management skills and the ability to prioritize work
· Excellent written and verbal communication skills
· Willing to learn new systems and platforms
· High School degree; additional qualification as an Administrative assistant
Job Type: Part-time
Pay: $18.00 - $20.00 per hour
Expected hours: No more than 20 per week
