Summary / Objective :
The Enrollment System Administrator plays a key role in supporting and managing the Enrollment 123 (E123) system to ensure smooth enrollment operations and product implementations. This role is responsible for maintaining system configurations, overseeing eligibility file management, and coordinating vendor integrations while also leveraging industry knowledge to optimize enrollment workflows and processes.
This position requires a strong understanding of Third-Party Administrator (TPA) functions and insurance industry operations. As a subject matter expert in enrollment operations, this role will provide informed guidance on product rollouts, enrollment strategies, and compliance requirements. In addition to system maintenance, the Enrollment System Administrator serves as the primary contact for E123 support requests and works closely with internal teams to align system capabilities with business needs.
The position is remote but may require occasional travel to the corporate office for cross-departmental collaboration or team meetings.
Essential Duties :
System Maintenance and Management
Oversee the operation and maintenance of the Enrollment 123 (E123) system, ensuring system functionality and performance align with organizational needs.
Manage and monitor scheduled jobs, ensuring timely and accurate execution.
Configure and update enrollment and sales workflows, eligibility files, and vendor integrations within the system.
Product and Vendor Implementation
Collaborate with cross-functional teams to implement new products, vendors, and enrollment processes within the E123 platform.
Analyze system capabilities to recommend and implement operational enhancements.
Ensure seamless integration of new products, communications configurations, and vendors into the system.
Work with cross-functional teams to ensure compliance with regulatory and company standards during product rollouts.
Data Management and Reporting
Ensure accuracy and integrity of data within the E123 system, including eligibility files and broker, and enrollment data.
Generate reports and metrics to support operational decision-making and monitor system performance.
Audit system outputs for compliance with organizational and regulatory standards.
Process Optimization
Evaluate and refine enrollment and operational processes to improve efficiency and scalability.
Identify opportunities for automation within the E123 platform and implement approved solutions.
Maintain detailed documentation of system configurations, processes, and workflows.
Support and Training
Provide guidance on operational best practices based on TPA and insurance industry knowledge.
Provide technical support and guidance to internal teams utilizing the E123 system.
Develop and deliver training materials to ensure users are proficient in system functionalities.
Serve as the primary point of contact for submitting and managing tickets to E123 support.
Coordinate directly with the E123 team to resolve issues, implement updates, and manage system improvements.
Maintain clear communication with internal teams regarding system updates, changes, and enhancements.
Stay current on E123 system updates, industry trends, and best practices to enhance organizational use of the platform.
Compliance and Security
Ensure all configurations and processes comply with company policies, data security requirements, and industry standards.
Conduct regular reviews and updates of system security settings and user permissions.

Education / Experience :
5 years of experience with the Enrollment 123 (E123) system, including configuration, maintenance, and troubleshooting (required).
5 years of experience in enrollment operations, TPA functions, or related insurance industry experience.
1–2 years of experience in product implementation within an enrollment system environment (preferred).
Proven experience managing eligibility files, system workflows, and data reporting.
Experience with vendor integrations and operationalizing workflows within a TPA or insurance setting.
Technical Knowledge :
Knowledge of automating processes and workflows within E123 or similar platforms (required).
Proficiency in Google Workspace (Docs, Sheets, Slides, Drive) for documentation and collaboration (required).
Familiarity with vendor integrations and operationalizing workflows in enrollment systems (preferred).
Understanding of data security requirements and compliance standards, especially within the healthcare or enrollment industry (preferred).
