Job Title: Full-Time Admin Assistant (Receptionist)
Reports To: Clinic Director
FLSA Status: Non-Exempt
Position Summary:
The Admin Assistant is responsible for providing front-desk coverage and data entry support
Primary Duties/Responsibilities
Responsibilities include but are not limited to:
Communications and Correspondence
· Answering incoming calls to the front desk, directing calls to appropriate staff, booking appointments for clients, checking clients in and out of clinic
· Fielding basic HIV, Hepatitis C, and STI questions
· Taking payment for services or accepting donations
· Maintaining a welcoming and non-judgmental environment for clients
· Overseeing the reception area (restocking supplies, directing clients to services, maintaining a clean and safe lobby/reception area)
Data and Record Keeping
· Providing support to the Clinic Director and other staff with requested data entry
o Scanning, filing, inputting patient information into EHR system
Office Supplies and systems
· Organizing and storing medical and office supplies appropriately
· Taking inventory and ordering appropriate medical and office supplies
Schedule
The Admin Assistant is expected to be present at the front desk during open office hours and is required to work 32 hours per week unless approved by the Clinic Director
Required front desk hours (hours are subject to change)
· Monday and Thursday 10:00a.m.-7:00p.m.
· Tuesday and Wednesday 10:00p.m.-5:00p.m.
Qualifications
Experience in customer service and/or reception or front desk positions preferable. Willingness to learn. Good verbal and written communication skills. Enjoys creating an inclusive and welcoming environment.
· Outstanding interpersonal and relationship-building skills, and the ability to work both independently and as part of a team
· Certified HIV/HCV/STI/CTR Test Counselor or willingness to be trained
· Proficiency in the use of Microsoft Applications, including but not limited to Outlook, Excel, and Word
· Demonstrated written and verbal communication skills and strong analytical skills
· Ability to work with multiple projects
· Flexibility
· Ability to work non-traditional hours
· Creativity
· Maintain confidentiality of agency and constituent information required
· Valid driver’s license and proof of personal automobile insurance required
Preferred Qualifications
· Previous HIV/AIDS, HCV, and or STI evidence-based training
