Opportunity

We are seeking a dynamic Director, Clearinghouse Services to lead HRiA’s Clearinghouse program which produces, stores, and distributes hundreds of health-related materials for the MA Health Promotion Clearinghouse and other public health organizations and programs. This is an excellent opportunity for someone who is passionate about program and project management, skilled in managing complex multi-stakeholder programs, enjoys system and process improvement, and is interested in public health topics and communication strategies. The ideal candidate will be a relationship builder, detail-oriented, and a fast learner. Director candidates must live in or willing to move to Massachusetts

This is an exempt, full-time position with a salary range of $100,000 - $105,000 based on skills and experience.

Position Description

The Director is responsible for leading the Clearinghouse services portfolio at HRiA. This includes managing contracts with the Massachusetts Department of Public Health and other clients/partners, coordinating associated projects and tasks, and overseeing the warehouse operations in Burlington, MA, including regular travel to the site. The Director is responsible for establishing the overall vision and direction for the portfolio of work (in conjunction with the Managing Director), setting goals and objectives for the projects and teams, managing project budgets, making operational and programmatic decisions, implementing tasks as appropriate, and hiring and supervising staff who contribute to the projects. The Director works with the team to monitor and implement project workplans to ensure that project milestones are met and products are delivered on time and within budget. The Director also works closely with clients and funders to ensure services meet or exceed contractual obligations, stakeholder expectations, and professional standards. At HRiA, the Director will contribute to programmatic and organizational growth, including leading and contributing to proposals and scopes of work for new business within and beyond the portfolio, and sharing lessons learned and insights to promote HRiA as a thought leader.


Duties and Responsibilities

Management & Supervision

  • Direct large multi-year projects, including managing teams, clients, and budgets
  • Lead a Clearinghouse team comprising diverse professionals who work at two office locations and/or remotely, and directly supervise at least two program managers
  • Oversee warehouse facility and its operation, including regular, in-person site visits; develop and monitor systems and protocols to ensure effective operations
  • Develop, engage, and maintain strong relationships with key stakeholders and leaders, including clients, government agencies, and community leaders and residents
  • Provide insight and guidance to help address challenges and barriers, and support and ensure continuous quality improvement activities
  • Work with HRiA’s Finance staff to develop and monitor project budgets
  • Conduct annual staff performance reviews, and develop and support staff in setting and attaining professional development goals
  • Lead team meetings, and participate in other cluster or organizational activities as appropriate

Technical/Programmatic

  • Establish vision, goals, and objectives to help guide Clearinghouse projects and team
  • Work with project staff to ensure contract compliance and implementation, and timely completion of deliverables within budget and to client’s satisfaction
  • Serve as primary point of contact for clients and manage communication and reporting about project progress, challenges, and successes
  • Develop and/or ensure implementation of systems, policies, and procedures for all aspects of Clearinghouse operations (e.g., shipping and labeling requirements, publication cataloging and inbound process, and publication revision process, among others)
  • Oversee management of Clearinghouse publication projects and provide technical assistance to ensure quality (e.g., copy editing, proofing, and graphic design direction)
  • Direct the warehouse Fulfillment Center’s systems and processes, including workflow, infrastructure maintenance, safety procedures, and special projects
  • Oversee inventory, data management, and distribution systems and reporting
  • Ensure provision of high-quality customer service to clients and consumers by all members of the team
  • Maintain knowledge of significant trends and developments in clearinghouse services, including distribution activities and requests from communities
  • Build and maintain strong and effective relationships with clients and other key stakeholders

New Business Development

  • Lead a portfolio of health promotion clearinghouse or related projects; set vision and develop and implement strategies for sustainability and growth
  • Work with the Managing Director, Vice Presidents, Director of Business Development, and other senior leaders to identify and pursue opportunities to sustain and expand the Clearinghouse portfolio
  • Lead and/or contribute to proposals and scopes of work for new business, including creating distribution, marketing, and/or product development plans and budgets
  • Develop and implement marketing strategies based on experience, distribution trends, and client needs
  • Participate in HRiA’s monthly Marketing and Business Development Roundtable

Thought Leadership

  • Serve as a trusted, informed source on clearinghouse services for HRiA, clients, and community, and provide advice to help guide project approaches and tasks
  • Provide technical and content expertise to support and enhance other projects and services at HRiA
  • Develop and provide web content to promote work
  • Develop and deliver webinars, presentations, and practice briefs; attend and present at regional or national conferences, as appropriate
  • Suggest ideas/improvements to project and organizational policies, procedures, and/or processes through participation in teams and committees


Candidate Qualifications

  • Master’s degree in public health, health communication, or similar field; in lieu of advanced degree, a bachelor’s degree with at least 10 years of relevant work experience
  • A minimum of seven years of leadership experience in program management
  • A minimum of five years of experience in logistics management
  • Demonstrated experience managing federal or state contracts
  • Demonstrated experience managing and supervising staff and consultants
  • Demonstrated experience with public health communication
  • Strong skills in logistics, budget/finance, communication, relationship building, problem-solving
  • Excellent client and project management skills, with ability to work simultaneously with multiple funders, partners, and vendors to fulfill contract requirements and meet deadlines
  • Highly organized, motivated, and able to work well independently and with a team
  • Strong attention to detail and organization
  • Experience working in a multicultural environment
  • A commitment to valuing diversity of thought, backgrounds, and perspectives
  • Ability to work effectively in a fast-paced, busy environment
  • Be based in or willing to move to Massachusetts
  • Flexibility and a sense of humor
  • A valid driver’s license, and ability/willingness to travel to the warehouse regularly (at HRiA’s expense)
