POSITION SUMMARY:

This position must demonstrate sensitivity and professionalism while assisting patients with scheduling and follow-up needs.

Essential Functions Statement(s):

  • Schedules, cancels, or reschedules all Medical Specialty/Radiology follow-up appointments.
  • Removes cancelled or rescheduled appointments from the physicians’ schedules.
  • Checks in patients through kiosk or manually. Ensures consents, co-pays, imaging, records are obtained from patient and distributed accordingly.
  • Contacts patients regarding missed appointments and follows up on no show appointments.
  • Cancels appointments of deceased patients within an appropriate timeframe.
  • Transcribes physician orders appropriately using physician’s current orders.
  • Schedules outside facility laboratory and radiology testing, internal scan testing, and/or radiology consultations building lab requisitions and lab and vitals.
  • Assists physicians with hospitalizations as requested.
  • Initiates prior authorizations as needed for outside diagnostic testing as required by the patient’s health insurance plan within the scope of the position.
  • Monitors and reviews the physicians’ schedules on a daily basis, ensuring templates are followed and scheduling errors are corrected PRIOR to the patient arriving for the visit.
  • Communicates openly and effectively with the physicians and professional staff.
  • Ensures “call backs” are addressed prior to physician visits in order to confirm patients are reminded of their appointments.
  • Reviews department inbox and ensures tasks are taken care of.
  • Answers all phone lines in the POD promptly and professionally; including the physician phone line. Calls should be screened, messages taken, and the appropriate physician should be notified in a timely manner.
  • Notifies Medical Assistants promptly of any add-on appointments.
  • Assists with chart prep and scanning.

SKILLS & ABILITIES:

Education and Experience:

  • High School Graduate or General Education Degree (GED)
  • Three to seven years related experience preferred
  • Minimum of two years experience as a Patient Care Coordinator or Medical Assistant
  • Medical Oncology, Radiology Oncology, or Surgery Scheduler work experience a plus

Computer Skills:

  • Intermediate computer skills and ARIA
