As the Front Desk Medical Assistant, you are responsible for the first experience someone has when they walk into our space. All clients, guests, and care team members should feel welcome and comfortable. Having a strong hospitality focus, being organized and adaptable with good time management skills, and can-do attitude will provide day-to-day success.

Your primary role is to help ensure the office operates smoothly on a daily basis by helping clients get checked in, scheduled, verifying and updating insurance , and checking that all documents have been received and filed before each visit to ensure that the appropriate and most cost-effective quality care is provided.

The Front Desk Medical Assistant is an integral part of a team committed to bettering the lives of our clients and the community. You will report to the Front Desk Manager and collaborate with other care team members for scheduling support and client follow up requests. Under general supervision, this position is serves a liaison between patients and the clinical care team.

Qualifications:

  • Medical Assistant Certification
  • Bilingual REQUIRED (Spanish)
  • CPR certified or willing to get certified
  • Valid Driver’s License, in good standing
  • Proficient with Word and Excel documents, computers and EMR systems
  • Excellent written & verbal communication in English AND Spanish (any other language is a plus)
  • Adaptable to technology, including telehealth software, comfortable with video communication and setting up zoom or Webex meetings
  • Responsive to texts, phone calls, and emails during business hours and/or designated work hours.

Responsibilities:.

  • Maintain reception area and ensure it is kept tidy
  • Take vitals for medication management clients when Psychiatrist is at clinic and for IOP group sessions
  • Welcomes patients and visitors by kindly greeting at arrival and when leaving the practice.
  • Answers patient questions regarding office visit.
  • Interact with patients and visitors in a courteous manner.
  • Process patient information, which includes but is not limited: verifying insurance, collecting co-payments, deductibles, and co-insurance amounts, verify annual max out of pocket for clients and what amount has been met to date, electronically sending and verifying paperwork for the visit is completed prior to appointments
  • Assist with other clerical and patient related requests made by co-workers and management
  • Conduct daily reports and follow up with clients, staff, and leadership as needed
  • Coordinates with the Front Desk Manager, Clinical supervisor, clinical director, and medical director for client care relative to periodic consultation, annual review, medication management and other matters
  • Maintains effective communication with clients, parents, guardians, and others involved in coordination of client care and scheduling
  • Respond appropriately and in a timely manner to patient requests and/or inquires
  • Email monthly progress reports submitted by clinicians to Diversion case managers and request updates from clinicians if progress reports are not updated by end of the month.
  • Adheres to HAMG’s Policies and Procedures.
  • Prepare and assist with audits when requested
  • Meets or exceeds minimum weekly and monthly established production goals for billing and admin tasks
  • IF needed, Initiates and coordinates emergency hospitalization as required and coordination of follow up care per discharge instructions (training provided during onboarding)
  • Maintains consistent reporting to immediate supervisor
  • Provide feedback for Quality Improvement and Quality Assessments to include, but not limited to: performance management, running reports on client scheduling and retention, medication management and updating waitlists
  • Assist Outreach Team to develop community relationships with Hospitals, School Districts, Primary Care, etc for referrals and continuity of care via administrative email
  • Ensures that all patient demographics and financial information is up to date, and insurance policy is active.
  • Facilitates patient flow by notifying the provider of patients' arrival, being aware of delays, and communicating with patients and clinical staff.
  • Protects patients' rights by maintaining confidentiality of personal, medical, and financial information. (i.e. never leave PHI in plain sight, log off computer before leaving workstation).
  • Schedules follow up appointments at time of check out.
  • Calls patients if they have not arrived after 5 minutes of their scheduled appointment time, and cancels or reschedules the appointment accordingly.

Job Types: Full-time, Part-time, Contract, PRN

Pay: $17.50 - $20.00 per hour

Expected hours: 12 – 20 per week
