We are actively seeking a medical receptionist to join our front office team at our medical practice. Medical Receptionist Job Responsibilities:
- Providing support to patients by welcoming them, responding to their inquiries, arranging appointments, and managing records and finances.
- Uses EHR software, patient portal, appointment reminder systems, mobile apps, and other tech to manage scheduling, interact with patients and providers, update files and records.
- Greets patients and visitors warmly, whether in person or over the phone, showing empathy and kindness. Takes thorough messages when necessary.
- Boosts patient happiness, makes the most of provider availability, and maximizes treatment room use through appointments booked either in person or over the phone.
- Helps patients complete insurance forms and other necessary patient records.
- Helps coordinate hospital admissions, refers patients to specialists, and sets up appointments for medical tests and lab work when necessary.
- Ensures patient appointments stay on track by letting the provider know when the patient arrives, checking if services are being delivered as planned, and giving gentle reminders if there are any delays.
- Helps to reduce patients' stress by addressing their concerns ahead of time, providing helpful answers, and creating a peaceful and organized atmosphere in the waiting area.
- Ensures patient accounts are up to date by collecting copays/coinsurance before or at the scheduled appointment. Also double checks patients' insurance status before the appointment.
- Helps patients stay on track by making friendly reminder calls before appointments.
- Keep track of office supplies and equipment by regularly monitoring stock levels, predicting supply needs, and informing management when more items are required.
- Assists patients in need by quickly responding to emergencies and resolving issues following front office triage guidelines.
- Collects, sorts, distributes, or prepares mail, messages, or courier deliveries.
- Protects patients’ rights by maintaining confidentiality of medical, personal, and financial information.
- Maintains operations by following policies and procedures, reporting needed changes.
- Provides directions to the office to new patients, consulting practitioners, and vendors.
- Contributes to team effort by accomplishing related results as needed.
Work Hours and Benefits:
- No weekends.
- Monday to Friday 8:00 AM- 3:00 PM.
- Start Date November 1, 2024

Education, Experience, and Licensing Requirements:
- High school diploma or equivalent
- 1 previous experience in a medical office setting, Primary Care, preferred not required.
- Excellent communication and customer service skills
- Ability to multitask and prioritize tasks.
- Proficient in Microsoft Office and electronic medical records systems
- Bilingual (Spanish speaking) REQUIRED.
- CMA or CNA preferred no required.
Working Conditions:
The Medical Receptionist will work in a medical office setting and may be required to stand or sit for extended periods of time.
Salary:
$17.00/hr
