SUMMARY: Responsible for providing entry level bookkeeping and accounting support to the Accounting Services Department by proactively ensuring timely and accurate processing of client checks and payables in accordance with Firm policies by performing the following duties.
DUTIES AND RESPONSIBILITIES:
- Ensures timely and accurate processing of client deposits, invoices, checks and payables, and related accounting entries; proactively processes all transactions in accordance with Firm policies.
- Completes payments and controls expenses by receiving payments and processing, verifying and reconciling invoices.
- Receives, reviews, and enters client invoices in accordance with policy guidelines.
- Researches and resolves discrepancies.
- Maintains records and analyzes collections, updates and summarizes payables.
- Reviews correspondence submitted by clients and make necessary adjustments/notifications.
- Daily mailbox remittance monitoring.
- Processes accounts payable payments utilizing the Firm's Accounts Payable software programs.
- Provides accurate and effective document preparation and records management relative to the accounts payable function.
- Assists Accounting Services Department with various administrative tasks such as printing checks, scanning, etc.

Requirements
QUALIFICATIONS:

Education and/or Experience:
High school diploma or GED required. One to three years’ experience in performing administrative tasks; experience with accounts payable and general ledger preferred.
Computer Skills:
To perform this job successfully, an individual should have working knowledge of the Internet, Microsoft Outlook, Microsoft Excel, Microsoft Word, office equipment, computer hardware and peripheral devices. Ability to learn Firm accounts payable software. QuickBooks experience a plus.

Physical Demands/Work Environment:
While performing the duties of this job, the employee is regularly required to sit and talk or hear. The employee is frequently required to walk or use hands to finger, handle, or feel. The employee is occasionally required to stand, reach with hands and arms, and stoop, kneel, crouch or crawl. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision and ability to adjust focus. The noise level in the work environment is usually quiet.
