We are seeking an Office Assistant to join our team in a psychiatric outpatient clinic setting. The ideal candidate will have experience with medical scheduling, administrative tasks, and familiarity with HIPAA regulations.
## Responsibilities
- Manage patient appointments and scheduling using Tebra EMR
- Maintain and organize medical records in compliance with HIPAA regulations
- Assist with administrative tasks such as answering phones, responding to emails, and filing documents
- Utilize medical terminology accurately in office communications
- Support the smooth operation of the clinic by assisting with various office tasks
## Skills
- Proficiency in medical scheduling software
- Strong administrative skills with attention to detail
- Knowledge of HIPAA regulations and maintaining patient confidentiality
- Familiarity with medical records management and medical terminology
- Ability to work effectively in an office setting within a psychiatric clinic environment
- Proficiency in basic life support (BLS) techniques.
- Familiarity with coding and insurance billing processes.
- Strong communication skills and the ability to provide compassionate patient care.
Responsibilities:
- Warmly greet and welcome patients to the practice
- Check patients in and out
- Schedule and manage appointments, provide reminder calls to patients
- Assist patients in filling out online information forms
- Prepare patients’ charts and daily schedules for the staff
- Update patient records and document treatments and procedures
- Verify methods of payment and collect payments
- Answer phone calls, and accept deliveries
- Build positive relationships with the patients and team members
- Provide support for the clinical and sales teams
- Ensure the front desk and lobby are neat, clean, inviting and well managed
Qualifications:
- Excellent customer service skills, including excellent telephone etiquette
- Positive spirit with a desire to help patients and the team
- Strong interpersonal and relationship-building skills
- Superior written and verbal communication skills
- Bilingual in English and Spanish
- Familiarity with dental office procedures and terminology is helpful
- Strong computer skills and the ability to learn new programs
- Good organizational skills
Salary : $30,000 - $45,000
