Position Overview:
Hearst Health is seeking a detail-oriented and highly organized HR Administrator to join its Group Office, supporting workflows and data integration across the six Hearst Health businesses. Reporting directly to the Hearst Health Chief Financial Officer (CFO), this role will serve as the primary liaison between Hearst Corporate’s People and Benefits teams and the HR teams within the individual Hearst Health businesses. The HR Administrator will play a key coordination role to ensure seamless communication, efficient processes, and data accuracy across all Hearst Health organizations.
Key Responsibilities:
- Personal Services Contract Management: Manage the end-to-end personal services contract process for senior executives, ensuring compliance with corporate standards, timelines, and confidentiality requirements.
- Compliance Training Coordination: Coordinate schedules for compliance training campaigns across businesses, working closely with stakeholders to meet corporate and regulatory timelines. Collaborate with Hearst Corporate’s teams to ensure deployment of appropriate compliance campaigns. Run regular compliance and other training completion reports, monitoring and ensuring timely completion.
- Employee Engagement Support: Serve as overall manager of CultureAmp employee engagement survey platform for Hearst Health, ensuring that the appropriate business contacts have access to the platform and coordinating a calendar of survey launches across the businesses.
- HR Data Auditing and Reporting:
- Review and audit HR data inputs for accuracy and consistency across systems, collaborating with business-specific HR teams to resolve discrepancies.
- Collaborate with Hearst People Analytics team to ensure dashboard access for key Hearst Health executives and to produce any ad hoc reports requested by Hearst Health leadership.
- Compensation Process Management: Support compensation processes, acting as the central coordinator for data collection, analysis, and approval workflows in alignment with corporate policies. Perform compensation benchmarking for confidential roles. Coordinate Hearst Health’s collective participation in compensation benchmarking surveys.
- Collaboration and Communication: Act as the single point of contact between the parent company's HR leadership team and the HR teams at each Hearst Health business, facilitating smooth communication and alignment of HR activities.
- Process Improvement: Identify opportunities to streamline workflows and enhance operational efficiency in cross-business HR functions.
- Leave Management: Monitor active leaves of absence across Hearst Health and raise potential matters for HR and legal review.
- Recruitment Processes: Coordinate recruitment resources to fill open needs on the Hearst Health Group Office team (a total team of ~15 people) – manage the requisition in Oracle, enlist recruitment support from a Hearst Health recruiter, and manage the offer letter process.
- Additional Needs: Address additional operational HR needs as they arise from the Hearst Health businesses; serve as first point of contact for Hearst Health HR teams seeking to navigate Hearst Corporate resources.
Qualifications:
- 3-5 years of experience in HR coordination or administration, preferably in a multi-business, corporate setting.
- Strong organizational skills with the ability to manage multiple tasks and deadlines in a fast-paced environment.
- Excellent communication and interpersonal skills, with the ability to collaborate effectively with individuals at all levels of the organization.
- Proficiency in Oracle HCM, with strong attention to detail and accuracy in data management.
- High level of professionalism, discretion, and confidentiality in handling sensitive information.
Preferred Skills:
- Familiarity with HR compliance and engagement platforms is a plus.
- Experience with compensation or benefits administration is advantageous.
- Ability to thrive in a collaborative, matrixed organization.
In accordance with applicable law, Hearst is required to include a reasonable estimate of the compensation for this role if hired in New York City. The reasonable estimate, if hired in New York City, is $90,000-$110,000. Please note this information is specific to those hired in New York City. A final decision on the successful candidate’s starting salary will be based on a number of permissible, non-discriminatory factors, including but not limited to skills and experience, training, certifications, and education.
