HOURS: 40 hours per week
COMPENSATION: $46,000 per year
Job Purpose:
In an effort to expedite permanency for Heart Gallery children, the primary focus of the Heart Gallery recruiter is to fully cultivate relationships with our waiting children. The HGR will be an additional support and resource to the child outside of a traditional case manager. Regular communication, monthly visitation, and participation in all professional staffing’s and hearings for the HGR is essential in ensuring the best decisions are made for each child. Additionally, the HGR will assist in matching children with prospective families and support the match throughout the transition and post placement. The HGR will remain active in the child’s case throughout recruitment, transition, and finalization as an added resource and support to the child, family, and professional team to ensure a successful adoption.
Essential Functions:
Building Connections
- Visit child monthly throughout recruitment, match, and adoption process to develop relationship, build trust, and better understand child’s strengths and needs
- Assess ongoing needs and adoption readiness of each child in partnership with professional team
- Maintain ongoing communication with child and caregiver
- Maintain ongoing communication with professional team and assist with any concerns and/or meeting the needs of the child and caregiver
Assessment
- Review child study, IRP, IEP, 504 plan, psychological evaluations, FSFN notes, etc. to understand each child’s strengths and needs
- Review all home studies received for each child and provide potential matches to professional team
- Review home studies for unmatched families who may be potential matches for other waiting children
- Seek out prospective families through our collaborative partners such as Family-Match, Eckerd Adoptions, and private agencies
- Speak with prospective families regarding the strengths and needs of the child. Assess each family’s viability as a prospective match for the child. Share home studies of potential families with the child’s professional team for consideration
Team Coordination
- Schedule photo shoots as referrals are received from case management
- Attend all staffing’s and hearings related to the child’s case, including but not limited to IRP’s, Permanency, Match, Disclosure.
- Partner with the child’s professional team including CMO, Eckerd Adoptions, therapists, GAL, foster parents, AAL
- Provide respite to CM and ACM by being an additional resource to child and prospective families
Achieving Permanency
- Support professional team as the case moves through the adoption process. Assist in scheduling match meetings, ensuring child studies are accurate and complete, and all documents are ready for match meetings and Disclosure
- Ensure child’s profile is up to date on all recruitment websites
- Work with professional teams and Heart Gallery program on targeted recruitment initiatives for waiting children
- Advocate during match meetings and transition planning
- Lead and develop child specific and therapeutically appropriate transition plan
- Weekly check in with child, family, GAL, and CMO on progress once matched
- Monthly home visits with child and family during the transition and after adoptive placement for children placed in Tampa Bay area (Hillsborough, Pasco, Pinellas)
- Coordinate Zoom visits with any children and families outside of the Tampa Bay area
- Identify additional professional resources as needed including family therapy/adoption support
Special Events
- Assist Heart Gallery team with community events, special events, and annual gala throughout the year
- Attend committee and volunteer meetings related to events
Experience Requirements
- Minimum of 2 years’ experience in child welfare, adoption experience preferred
- Bachelor’s Degree Preferred
- Must be able to speak articulately on behalf of the Heart Gallery program and mission.
- Must have knowledge of all basic windows programs, Word, Excel, PowerPoint, Photoshop, and email applications.
- Must have strong communication and writing skills, be organized and prompt.
- Support the Heart Gallery team with all activities, administrative tasks, and complex projects.

- Must be available to work some evenings and weekends
- Must be willing to travel throughout Tampa Bay area (Hillsborough, Pasco, Pinellas)
