POSITION SUMMARY

Partner with leadership to research, secure, and manage grants, ensure compliance, and meet funding goals while supporting submissions, monitoring, and capacity-building efforts.

KEY RESPONSIBILITIES & ESSENTIAL DUTIES OF POSITION

An individual must be able to perform each essential duty listed below at a satisfactory level :

  • Partner with the Director of Grants Administration and other leadership to set measurable goals for grants and contracts to facilitate revenue forecasting.
  • Develop innovative strategies to secure grants and cultivate relationships, including government entities, corporations, and foundations.
  • Maintain and update a comprehensive prospect spreadsheet of targeted funding sources and opportunities by conducting thorough research using the grant search subscription and additional resources.
  • Manage grant prospects and contracts, including preparation of monthly reports.
  • Support the Quality Assurance Committee meetings (scheduling meetings, managing attendance, preparing materials, and contributing to meeting notes).
  • Gather and analyze grant reporting data to evaluate outcomes, identify trends, and provide recommendations to ensure grant objectives are met and funds are efficiently utilized.
  • Train on program grant development procedures to ensure processes are consistently utilized throughout the organization.
  • Process the intake of sponsorship requests.
  • Manage the entire grant submission process, including research, compiling materials, gathering support letters, and collaborating cross-functionally to ensure successful applications.
  • Review contracts for deliverables and report schedules, update the compliance calendar, and ensure timely submission of required documents.
  • Implement and maintain policies and procedures for Grants Administration to ensure overall HFUW operational excellence.
  • Ensure adherence to all organizational policies and procedures, staying informed about updates, and promoting compliance within the team.
  • Collaborate with other departments to ensure consistent brand representation.
  • Support timely recording and recognition of grant awards.
  • Support capacity building for pass-through grant providers, ensuring compliance with deliverables, reporting, technical assistance, and training.
  • Coordinate grant monitoring requests from funders and assist in facilitating monitoring visits.
  • Maintain client and staff confidentiality and adhere to HIPAA, FIPA, PHI, PII requirements.
  • Provide back-up support to Grants Administration team.
  • Contribute to overall organizational success by performing other duties and responsibilities as assigned.

JOB REQUIREMENTS

Job requirements include :

  • Associate degree or equivalent combination of experience and education may be considered in lieu of degree. Bachelor’s degree preferred.
  • Three to five years of experience in non-profit, fundraising, or grant writing experience required.
  • Strong networking skills with diverse stakeholders preferred.
  • Intermediate experience with Microsoft Office required.
  • Database experience preferred.
  • Ability to edit, complete, and assemble reports.
  • Attention to detail and accuracy.
  • Ability to multi-task and work in a fast-paced environment.
  • Ability to work independently with minimal supervision required.
  • Strong communication skills, both written and orally, required.
  • Strong proofreading skills required.
  • Ability to utilize critical thinking and problem-solving skills.
  • Ability to utilize organizational skills effectively.
  • Must have access to a private, secure, and stable high-speed internet connection.
  • Must have access to a quiet, confidential workspace.

  • Occasionally traveling to the office or offsite location.
  • Occasionally lifting and moving of items weighing up to approximately 20 pounds.
