The Senior Facilities Coordinator is responsible for providing direct support to managing the HeartFlow facility and office (office management). Provides support and assistance to those responsible for general maintenance and repair of fixtures, furnishings, equipment, and overall office facilities. Plays a key role as the primary point of contact for guests and employees entering the HeartFlow facility. Coordination of facilities services and interfaces with relevant vendors. Has a basic knowledge of electrical, plumbing and basic carpentry required to assist with the installation and maintenance of property.
Job Responsibilities:
- Act as main point of contact for facility management
- Maintain building cameras and badge access
- Answer calls, screen caller regarding the purpose of the call, and transfer to the appropriate company contact.
- Receive and sort all daily mail, packages, deliveries and
- Maintain kitchens, meeting rooms and copy rooms in office
- Order, receive, stock and distribute food and office supplies, as well as track and submit expense reports.
- Facilitates preventative maintenance activities for HVAC, Fire Alarm, Fire Suppression, Generator, Building Infrastructure, etc., as needed.
- Arrangement/movement of furniture, equipment, supplies or meeting rooms in support of meetings, trainings, or other planned events.
- Assist with the preparation of cost estimates for maintenance and repair work; forecast materials needs and order supplies.
- Coordinates and schedules facilities related
- Identifies potential vendors for services as required and facilitates a competitive bidding process.

Education Requirements and Work Experience:
- Graduation from high school or GED equivalent and/or two years of progressively responsible mechanical or building maintenance and repair experience, or
- Or satisfactory completion of a recognized apprenticeship
- Additional qualifying experience may be substituted on a year for year basis for the required education.
A reasonable estimate of the base salary compensation range is $58,000 to $75,000 per year. This position is eligible for cash bonus and stock options.
