What are the responsibilities and job description for the Administrative Assistant position at Heartland America LLC?
We are seeking an extremely organized administrative assistant to provide administrative support to our managing member and team to help us function more efficiently. You will be responsible for managing phone calls, calendar schedules including organizing meetings with agendas, run errands, arrange travel (including flights, hotels and rental cars), keep track of important documents (paper files and electronic files), and assist with other duties as needed. Our ideal candidate is a great multi-tasker with the ability to work independently as well as a team member with superb communication skills.
Responsibilities:
- Answer phone calls and emails, relay important messages to increase our productivity
- Manage all calendar events, meetings with agendas and conference calls for all team members
- Book flights, hotels and rental cars for managing partner and team members as needed
- Assist managing member and other team members as needed
- Plan and assist with company events
- Manage all filing systems for company documentation (paper and electronic filing)
- Assist with managing member property management tasks
- Great time management skills as well as both written and verbal communication skills
- Ability to work independently
- Comfortable with technology driven systems (Office 365)
