Position: Office Administrator Assistant
Type: Full-Time
Compensation: $17/hour $0.70/mile for training-related travel
Schedule: Monday–Friday, 8:00 AM – 4:00 PM (flexible accommodations available for appointments)
Note: Occasional evenings and weekends may be required to assist employees with 1-on-1 in-person training support.
Overview:
We are seeking a dedicated and detail-oriented Office Administrator Assistant to join our team. This is a work-from-home position with travel throughout the state of New Jersey required as needed to assist employees with in-person training and support. This full-time role involves a variety of administrative tasks, supporting employees with training and technical needs, and ensuring smooth day-to-day operations.
Key Responsibilities:
Training Coordination:
- Complete your own training promptly and maintain current certifications.
- Provide assistance to employees with training login issues via phone or in person (with at least 1 week of notice for in-person support).
- Clarify training requirements while empowering employees to complete tasks independently.
- Travel to various locations within New Jersey to provide scheduled in-person training support. Mileage reimbursement provided.
- Ensure availability for scheduled training sessions, including occasional evenings and weekends, and arrange transportation as needed.
Employee Communication:
- Send payroll reminders via email on Monday and Wednesday of payroll weeks as directed.
- Email training reminders, including usernames, passwords, and materials, as directed.
- Make phone calls to remind employees of training and paperwork deadlines.
Administrative Assistance:
- Assist employees with filling out and submitting payroll and other required paperwork.
- Notify employees of exclusion check results via email as directed.
- Perform additional office duties as requested by the company.
Qualifications:
- Strong organizational and time management skills.
- Proficient in email communication and basic administrative software.
- Ability to work independently and proactively address assigned tasks.
- Effective communication skills to support employees with training and paperwork needs.
- Reliable transportation and willingness to travel throughout New Jersey for training-related activities.
- Flexibility to occasionally work evenings and weekends as needed.
